What is a quarterly business review?

Updated · By Robert Breen

A quarterly business review (QBR) is a scheduled meeting, every three months, where a service provider and a client look at how the work is going, agree on decisions and list what each side owes the other next. Accountants, agencies and IT providers use them to keep long-term clients on track.

Why it matters for a small business

Ongoing client work drifts without checkpoints. Documents go missing, small questions pile up, and the client starts to wonder what they are paying for. A quarterly review forces both sides to look at the same picture, clear the open items and set dates for what comes next.

The meeting is only half the value. The other half is the written recap afterward: decisions, who does what by when and the questions still open. That recap is often skipped because writing it takes time. AI can produce a solid first draft from the meeting transcript in minutes, as long as someone checks the owners, dates and numbers before it goes to the client.

In a real lesson: Turn a Client Meeting into Action Items and a Follow-Up Email (Accounting Firms)

The Summarize a Client Meeting lesson starts from the Google Meet transcript of a Q3 review between Millbrook Accounting and its client Cedar Lane Landscaping, both made up. Maya Brooks runs the meeting, Tom Alvarez reports on the books, and the client's Grace Whitfield and Jordan Pike answer questions.

In about two minutes of talk the review covers a typical quarter's worth of business: September statements still needed, a target to close Q3 by October 30, 23 uncategorized transactions, a new truck bought on August 12, three subcontractors without a W-9 on file, and Grace asking whether monthly bookkeeping would make more sense now that the business is growing.

You paste a request asking ChatGPT for a three-sentence summary, the decisions, an action items table (task, owner, due date) and open questions, with "Not stated" for anything not said. Two due dates come back as Not stated. You fill them in (the truck paperwork is due Friday, and Maya will send the quote by October 21), then ask for a short follow-up email to Grace and Jordan.

Common confusions

Quarterly review vs quarterly close

The review is a conversation with the client. Closing the books for the quarter is the accounting work that makes the numbers final. The review often sets the date for the close, as in the lesson.

QBR vs status update

A client status update is a quick, one-way message about where things stand. A QBR is a two-way meeting where decisions get made.

Tips

  • Send a short agenda before the meeting, including the documents you still need.
  • End the recap with owners and dates for both sides, not just your team.
  • Client meetings are confidential. Follow your firm's AI policy, use a business account that doesn't train on your data, and leave out account numbers and tax IDs.

Frequently asked questions

What should a quarterly business review cover?
Where the work stands, what each side still needs to deliver, decisions to make and anything that should change next quarter, like moving from quarterly to monthly service.
Can I upload the meeting recording instead of pasting the transcript?
The lesson shows uploading a transcript file, Cedar Lane Q3 review - Transcript.docx, through the + menu in ChatGPT. Use the transcript your meeting tool saves, and check your firm's policy first.
