There are thousands of AI tools, and most teams waste weeks trying the wrong ones. The fastest wins come from matching one tool to one job you already do every week: email replies, meeting notes, proposals, month-end, support questions. How do I pick the right AI tool for a job?

Start with the job, not the tool: write down the task, how often you do it and what it costs you in time. Then pick the category that matches (email, meetings, documents, data and so on), shortlist two or three tools that work with the apps you already use, and test them on a real but low-risk example before you roll one out.

Are these AI tools free?

Is it safe to put client data into an AI tool?

Only when your plan and settings allow it. Check whether the tool trains on your data, where it stores it and whether your business plan turns training off. Business and enterprise plans usually give you more control. When in doubt, remove names and account numbers first.
