What you'll build

You'll take the transcript Google Meet saved after a planning call about an office move and hand it to ChatGPT with a clear request: a short summary, the decisions, an action items table with an owner and a due date, and the open questions. You'll check it, fill in two dates nobody said out loud, turn it into a recap email to the building manager, the IT vendor and your boss, and then learn the faster way: upload the transcript file instead of pasting it. To do it for real you need a free ChatGPT account (chatgpt.com) and a transcript or your own typed meeting notes; leave out passwords, door codes and anything your vendors asked you to keep private.

You turned a move-planning call into a summary, three decisions, an action items table and a recap email in a few minutes. The request did the heavy lifting: it told ChatGPT exactly what to pull out and to write Not stated instead of guessing, which matters when three different companies each own a piece of the same weekend. Keep that request handy for your next vendor call, and always check the owners, dates and times before the email goes out. Leave door codes, passwords and anything private out of what you paste.

Practice first, then build it for real

Everything here is a practice copy. No ChatGPT or Google account is needed, nothing is sent to OpenAI, and no file leaves your computer. Practice here first, then do it for real with your own meeting. To build it for real you need your own ChatGPT account, and some services charge once you use them for real work, so check each tool's current pricing.

Reading the steps is a start. Doing them is how it sticks. The interactive module walks you through every click in a practice copy of ChatGPT, checks each step, and never touches your real accounts.

Step by step: Turn an Office Move Call into a Checklist for Operations

All 24 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

1. Copy the transcript

  1. Open the Edit menu. This is the transcript Google Meet saved after today's office-move planning call. Click Edit in the menu bar.

Here's the transcript from today's office-move planning call at Kestrel Benefits Group. Google Meet saved it as a Google Doc: the office manager, the building manager, the IT vendor and the boss, plenty of dates and a few ums. Let's copy the whole thing.

  2. Select all. Click Select all.

    On a keyboard, that's Control A.

  3. Open the Edit menu again. The whole transcript is highlighted. Click Edit again.

    The whole transcript is highlighted.

  4. Copy it. Click Copy.

That's Control C. The transcript is now on your clipboard.

2. Ask for a summary

  1. Switch to ChatGPT. Click the ChatGPT tab at the top.

    Now switch over to ChatGPT.

  2. Click the message box. Click the message box.

Before you paste the transcript, tell ChatGPT what you want out of it. Otherwise you'll just get a vague recap.

  3. Paste your request. Paste in the request. It asks for four things: a short summary, the decisions, an action items table with owner and due date, and open questions.

Here's the request. It asks for four things: a three sentence summary, the decisions, a table of action items with an owner and a due date, and any open questions. The last line matters most: only use what's in the transcript, and write not stated when something is missing. That stops ChatGPT from guessing.

You're my office assistant at Kestrel Benefits Group. Below is the transcript of today's office-move planning call with the building manager and our IT vendor. Give me:
    1. A three-sentence summary
    2. The decisions we made
    3. The action items as a table: task, owner, due date
    4. Open questions
Only use what's in the transcript. If an owner or date isn't said, write "Not stated".
  4. Paste the transcript. Now paste the transcript under the request. Paste in the transcript. (In real ChatGPT, press Shift+Enter for a new line first, then Ctrl+V. Plain Enter would send the message.)

In real ChatGPT, press Shift and Enter to start a new line first, because Enter on its own sends the message. Then Control V to paste.

    00:00:03
Dena Whitaker: Thanks for joining, everyone. We're moving from the third floor to suite 810 on Saturday, November fourteenth. I want to settle keys, the freight elevator, internet, phones and the client notice.

    00:00:16
Reggie Cho: Keys and parking badges for suite 810 are ready November ninth. The freight elevator is yours seven to one on the fourteenth, but I need your mover's insurance certificate first.

    00:00:30
Dena Whitaker: I'll send the certificate Monday.

    00:00:34
Reggie Cho: Great, then the elevator is locked in.

    00:00:39
Alisha Brandt: On the IT side, the new internet line goes live in suite 810 on November tenth. I need the floor plan with the desk locations so we put the network drops in the right places.

    00:00:52
Dena Whitaker: I'll get you that. I just need to confirm where the two new hires sit.

    00:01:00
Alisha Brandt: Um, I need it before the electricians close the walls, so the sooner the better.

    00:01:08
Tom Sayre: What about the phones? I don't want a day without phones on Monday.

    00:01:15
Alisha Brandt: We move the phone system Saturday afternoon and test everything Sunday, so you're live Monday morning.

    00:01:24
Tom Sayre: Good. And the clients? They'll need the new address.

    00:01:30
Dena Whitaker: Tom, can you sign off on a letter? I'll write a draft and send it to you.

    00:01:38
Tom Sayre: Send me the draft and I'll approve it.

    00:01:43
Reggie Cho: Parking: you get twelve spots in the garage, and extra badges are fifteen dollars each.

    00:01:52
Tom Sayre: We have four contractors who come in, so I'll think about whether we buy extra badges.

    00:02:00
Reggie Cho: Last thing: your lease on the third floor ends November thirtieth. I'll walk it with you on the sixteenth.

    00:02:09
Dena Whitaker: Perfect, the sixteenth. Thanks, everybody.
  5. Send it. Click Send.

    Request on top, transcript below.

3. Check the details

  1. Check the action items. Read the summary and decisions. Then click the action items table: two due dates say Not stated.

A long planning call, boiled down to a summary, three decisions, six action items and two open questions. Now check it before anything goes out. Look at the action items table. Two due dates say not stated. That's right: nobody said when the floor plan or the client letter draft were due.

  2. Click the message box. You know the missing dates. Click the message box to tell ChatGPT.

You were in the meeting, so you can fill in the gaps.

  3. Fill in the gaps. Type the missing dates (or Paste in the dates): Dena will send the floor plan to Alisha by Wednesday, and the client letter draft to Tom by November 2.

Tell it the missing dates: Dena will send the floor plan by Wednesday, and the client letter draft by November second.

  4. Send it. Click Send.

4. Write the follow-up

  1. Click the message box. Every action item has an owner and a date now. Click the message box.

Now every task has an owner and a date. Because ChatGPT still has the whole meeting in this chat, you don't need to paste anything again. Just ask for the next thing.

  2. Ask for the follow-up email. Paste in the request to ask for a short recap email to the building manager, the IT vendor and your boss.

Ask for a short, friendly recap email to Reggie, Alisha and Tom, with the decisions and the action items.

  3. Send it. Click Send.
  4. Copy the email. Read the email. Then click the Copy button under it.

There's your recap email: the decisions, who's doing what and by when, and what's still open. Read it once, change anything that doesn't sound like you, then click the copy button under it and paste it into your email.

5. Or upload the file

  1. Start a new chat. Next time the transcript might be a file. Click New chat.

Sometimes the transcript comes as a file instead, like a Word document someone emailed you. You don't have to open it and copy it. Start a new chat.

  2. Open the plus menu. Click the + button on the left of the message box.
  3. Add photos & files. Click Add photos & files.
  4. Pick the transcript. Click Office move planning - Transcript.docx.

    Your file browser opens.

  5. Open it. Click Open.

The file attaches to the message box. You can also just drag a file onto the chat.

  6. Ask for the summary. Paste in the request: the same four things, in one line.

Now the same request as before, in one line.

Summarize this meeting transcript: decisions, action items with owner and due date, and open questions. If an owner or date isn't said, write "Not stated".
  7. Send it. Click Send.

Either way, always check the owners and dates before you send the recap.
