Updated . Built against the tool’s current screens and checked step by step. How we check this lesson

The problem: a prospect who's ready to sign asks for a big discount and a free month, and mentions a cheaper competitor. The fast reply is "done", and now you've promised a price your sales director never approved and set the floor for every renewal. Ignore the ask and the deal goes cold. In this free, interactive lesson you give ChatGPT the prospect's thread and your pricing rules, let it draft, have it check every promise against those rules, fix the lines that agree to what only your director can approve, and send a reply from Gmail that keeps the deal moving.

Part of: AI for Sales Teams (step 3 of 14). Next up: Stop Losing Context: When to Start a New Chat vs Keep Going using ChatGPT

The example: 40 seats, a $35 competitor and a Friday deadline

You're Elena, an account executive at Deskwise, a made-up help-desk software company. Marcus, the COO at Corvane Logistics, likes the product after a two-week trial and asked for a quote for 40 seats at $49 per seat per month. Then he mentioned another vendor quoted $35.

His latest email asks for 30% off and the first month free so he can sign this week, and whether his team can keep using Deskwise after the trial ends on Friday. You never answered his Thursday email. The honest answers: you can offer 10% off for paying the year up front ($44.10 a seat), anything more or a free month needs your sales director, and you can extend the trial 14 days so his team keeps its setup while he decides.

What you need before you start

  • A free ChatGPT account (chatgpt.com).
  • The prospect's email thread. Any email app works, because you copy and paste.
  • Your pricing facts: list price, the discounts you can offer yourself, who approves anything more, what's included and when the quote expires. Leave out your margin and other customers' prices.
  • Nothing at all for the practice copy in this lesson: it needs no account.

Why the draft can't approve its own discount

Discount requests are where reps most often promise what they can't deliver. The prospect sets a deadline, the quarter is ending, and "I can do that" feels like closing. But a discount your director hasn't approved either gets walked back, which costs trust at the worst moment, or gets honored and becomes the price for this customer forever, including at renewal. AI drafts lean the same way, because a reply that says yes sounds more helpful.

The reply that works answers each ask on its own terms: here's what I can offer today (the annual-prepay discount, with what's included), here's who decides the rest and when you'll hear back, and here's how we keep things moving meanwhile (the trial extension). It also skips any comment on the competitor's price, because you don't know what their $35 includes.

Who this lesson is for

Account executives, sales development reps, account managers and founders who sell, at B2B software and services companies of any size. The same routine works for renewal pushback, payment-term requests and "can you match this quote" emails. No AI experience needed.

Ways to use it after the lesson

  • Keep a pricing-facts template: list price, your own discount limit, who approves more, what's included, quote expiry.
  • Keep your own rule line in every facts list: no unapproved discounts or free months in email.
  • Paste your director's answer into the same chat and ask for the follow-up, so the numbers match what was approved.
  • Use the same check-the-promises step on proposals and order forms before they go out.

How the interactive lesson works

Each step plays first in the Watch panel with a short voice-over, then you do it yourself in Your turn on a practice copy of Gmail and ChatGPT. Nothing touches a real account and no email is sent. The companies, people and prices are made up.

Reading the steps is a start. Doing them is how it sticks. The interactive module walks you through every click in a practice copy of ChatGPT, checks each step, and never touches your real accounts.

Step by step: Hold Your Price When a Prospect Asks for a Discount using ChatGPT

All 20 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

1. Copy the thread

  1. Open the thread. This is Elena's inbox at Deskwise. Click Marcus Feld's thread, Deskwise quote: 40 seats, to open it.

Here's the inbox for Elena, an account executive at Deskwise, a help desk software company. Marcus is ready to buy, if the price comes down, and his thread has four messages, three asks, and no answer since Thursday.

  2. Expand all messages. Gmail folds up the older messages in a thread. Click Expand all, the double-arrow icon at the top right of the thread.

Gmail folds up the older messages, so only the newest one is open. You want the whole story, so click Expand all, the double-arrow icon at the top right.

  3. Copy the thread. In real Gmail you select the messages, then press Ctrl+C (or right-click and choose Copy). Here, click the messages to copy them.

Read it through once. Marcus wants thirty percent off, the first month free, and to keep using the trial after Friday. If there's anything private in there, like other customers' prices or your margin, leave it out. Here, just click the messages.

  4. Switch to ChatGPT. Click the ChatGPT tab at the top.

    Now switch over to ChatGPT.

2. Give ChatGPT the context

  1. Click the message box. You are in a new chat. Click the message box.

You're in a fresh chat. You'll give ChatGPT three things in one message: the thread, the facts, and what a good reply looks like.

  2. Paste the thread. Paste in the thread. One line says what this is, then the four emails, oldest first.

First, the thread. One line tells ChatGPT what it's looking at, then the emails, oldest first.

Here is an email thread between me, an account executive at a software company, and a prospect, oldest message first.

Marcus Feld (Tue, Oct 6): Hi Elena, the team likes Deskwise after two weeks of the trial. Can you send a quote for 40 seats? Marcus

Elena at Deskwise (Tue, Oct 6): Great to hear, Marcus! Here's the quote for 40 seats: $49 per seat per month, billed monthly. Happy to walk through it. - Elena

Marcus Feld (Thu, Oct 8): Thanks. Honestly that's more than we planned. Another vendor quoted us $35 a seat. Can you do better?

Marcus Feld (10:21 AM): Elena, following up. If you can do 30% off and give us the first month free, I can get this signed this week. Our trial ends Friday. Can you do it, and can we keep using it after Friday while we decide?
  3. Add the facts. Paste in the facts. These are the only things the reply may promise: the quote, the discount you can offer yourself, who approves anything more, the trial extension, what's included, and your own rule.

Next, the facts. ChatGPT can't see your price list or your discount rules, so spell them out. Number them, so you can check them later.

Facts (only promise what is here):
    1. The quote is for 40 seats at $49 per seat per month, billed monthly. It's valid until Oct 31.
    2. Paying for a year up front takes 10% off ($44.10 per seat). I can offer that myself.
    3. Any discount over 10%, or any free month, needs approval from Hannah Ortiz, our sales director. I can ask her today, but I can't promise what she'll say.
    4. I can extend Corvane's trial by 14 days, to Friday, Oct 30, so they keep their setup while they decide.
    5. The other vendor's $35 quote: I don't know what it includes. I won't comment on their product.
    6. What's included at $49: onboarding with a specialist and phone support. I can say that.
    7. My rule: I don't agree to discounts or free months that aren't approved. I explain the options and who decides.
    8. Marcus wrote last Thursday and I didn't answer. That's on me.
    9. Sign it: Elena, Deskwise.
  4. Say what a good reply looks like. Paste in the instructions: the tone, the three asks to answer, the options and next step, a word limit, and a rule not to invent anything.

Last, tell it what a good reply looks like: warm and confident, the three asks to answer, the options you can offer now, and a word limit. And one rule that matters most: don't invent details or promise anything that isn't in the facts.

Write my reply to Marcus. Tone: warm, confident and straight, like a rep who wants the deal but respects his budget. Apologize once for the slow reply. Answer all three of his asks clearly: the 30% off, the free first month, and using it after Friday. Give him the options I can offer now and the next step. Keep it under 200 words. No subject line, since it's a reply in the same thread. Don't invent details or promise anything that isn't in the facts.

3. Get the first draft

  1. Send it. Thread, facts and instructions are all in. Click the Send arrow.

Thread, facts, and instructions, all in one message.

4. Check every promise

  1. Read the draft, then click the message box. Read the draft closely. Your real draft will differ every time, and a good model may get it right. This practice draft has two slips: look at the price and first-month lines. Then click the message box.

That's an upbeat first draft. It apologizes once and handles the trial well. Your real draft will be a little different each time, and it may come out right. In this practice draft, read the price and the first month: thirty percent off, and a free month. Your sales director decides both. A draft can close the deal and still give away what you can't approve.

  2. Ask ChatGPT to check its promises. Paste in the check to ask for a table of every promise and the fact behind it.

Ask ChatGPT to check its own work: every promise in the reply, next to the fact that backs it up.

Check that reply against my facts. Make a table of every promise or claim in it and the fact that backs it up. Flag anything the facts don't support.
  3. Send the check. Click the Send arrow.

5. Fix it and warm it up

  1. Read the table, then click the message box. Three of the five claims match a fact. The 30% discount and the free month aren't supported. ChatGPT suggests wording for both. In your own chat, the table may say everything is supported. That is a good result too. Click the message box.

Three of the five claims match a fact. You can offer ten percent yourself, and anything more, or a free month, needs your director. In your own chat, the table may say everything is supported, and that's a good result too. Still compare the table with your own facts, since you know your pricing rules.

  2. Ask for specific changes. Paste in the fix: use both suggested wordings, give each ask its own short paragraph, and keep every other fact the same.

Now ask for specific changes, not just make it better. Use both suggested wordings, give each of his asks its own short paragraph, and keep every other fact exactly the same.

Use both of those wordings. Then give each of his three asks its own short paragraph so the answers are easy to find, keep it warm, and stay under 200 words. Keep every other fact exactly the same. Reply with just the email.
  3. Send the fix. Click the Send arrow.

6. Send it from Gmail

  1. Copy the reply. Read the final reply. In real ChatGPT it shows up in an Email card: click the copy icon on the card or under it, and ignore the Connect email button.

Read it once more. Each ask gets a straight answer: the discount you can give today, a request to your director for the rest, and more time on the trial. It keeps the deal moving without a promise you might have to take back.

  2. Go back to Gmail. Click the Gmail tab at the top.

    Back to Gmail.

  3. Click Reply. Under the last message, click Reply.

Under Marcus's last message, click Reply. Your answer stays in the same thread, which is why you told ChatGPT to skip the subject line.

  4. Paste the reply. Paste in the reply to drop in the reply you copied. In real Gmail, press Ctrl+V.
    Hi Marcus,

Sorry for the slow reply. You wrote on Thursday and I should have answered.

The price: what I can offer today is 10% off for paying the year up front, which is $44.10 a seat, including onboarding with a specialist and phone support. A bigger discount needs approval from Hannah Ortiz, our sales director. I'll ask her today and tell you exactly what she says.

The first month: a free month also needs Hannah's approval, so I'll include it in the same request rather than promise it.

After Friday: I'll extend your trial by 14 days, to Friday, Oct 30, so your team keeps everything while you decide. Your quote is good until Oct 31.

    Elena
    Deskwise
  5. Read it, then send. Read it one last time: the 10% offer, the request to Hannah and the trial extension. Then click Send.

One last read before it goes out. ChatGPT wrote the draft, but your name is on it, so check the ten percent offer, the request to your director, and the trial extension. Everything's right.

Frequently asked questions

How do I reply when a prospect asks for a discount?
Answer each ask on its own: offer what you're allowed to offer yourself, say who approves anything more and when you'll come back, and give them a way to keep moving meanwhile, like a trial extension. Don't comment on a competitor's price you can't see.
Can ChatGPT write a reply to a pricing objection?
Yes, as a drafting tool. Paste the thread and a numbered list of pricing facts, ask for the reply, then have ChatGPT check every promise against those facts. Drafts often agree to the discount, so fix anything the check flags.
Should I match a competitor's lower price?
That's a decision for you and your sales director, made on purpose. In the lesson the reply doesn't match it or comment on it, because the rep doesn't know what the other quote includes.
What should I leave out when I paste a sales thread?
Your margin, other customers' prices, contract terms you're not allowed to share and anything the reply doesn't need. Follow your company's data policy.
Is it free?
Yes. Stepthrough is free and the practice copy needs no account. To do it for real you need your own ChatGPT and email accounts.
