Step by step
Copy the whole thread
In Gmail, click Expand all and copy all four messages. Leave out anything private, like card numbers.
Paste it with numbered facts
One line saying what it is, a numbered list of facts the reply may promise, then your instructions.
Say what a good reply looks like
Warm and professional. Apologize once. Answer all three questions. Under 150 words. Don't invent details or promise anything that isn't in the facts.
Check every promise
The first draft calls the cake completely nut-free. A table of every promise and its fact flags the line.
Fix it, then send from Gmail
Ask for specific changes, keep every other fact the same, then paste it under Dana's last message.
