What is NotebookLM?
Updated · By Robert Breen
NotebookLM is a Google tool for working with your own documents. You add sources such as PDFs, Google Docs, web pages or pasted text to a notebook, then ask questions, and its answers are based on those sources with citations you can click to check.
Why it matters for a small business
Many small-business questions are really "what does our own paperwork say?": what the warranty covers, what the handbook says about overtime, what a vendor contract says about late deliveries. A general chatbot answers from everything it learned in training. NotebookLM is built to answer from the documents you gave it and to show where each point came from.
Citations change how you check. Instead of trusting a summary, you click through to the passage and confirm it. That makes NotebookLM useful for onboarding, policy questions and meeting prep, as long as the sources are current and you're allowed to upload them.
In a real lesson: Reply Faster: Turn a Messy Customer Email Thread into a Clear, Friendly Reply
There is no NotebookLM lesson on Stepthrough. The Reply Faster lesson practices the same discipline in ChatGPT: answer only from your sources, then trace every claim back. You're at Cedar Lane Bakery, a made-up neighborhood shop, replying to Dana Whitfield about a cake order with the wrong pickup day, a flavor change and a nut allergy question.
You paste six numbered facts under the heading "Facts (only promise what is here)", ask for a reply, then click Paste check: a table of every promise in the reply next to the fact that backs it up, flagging anything unsupported. Five of six claims match. The sixth, a "completely nut-free" line, has nothing behind it, because fact 4 says the kitchen also bakes with nuts.
That table is a hand-built version of what NotebookLM's citations give you automatically. Whichever tool you use, the habit is the same: every claim should point to a source you can read.

Common confusions
NotebookLM vs Gemini
Gemini is a general assistant. NotebookLM focuses on the sources in one notebook and cites them, which makes it the better fit for "what do our documents say" questions.
NotebookLM vs a Custom GPT's files
Both use your documents. A notebook is built for research and Q&A with visible citations; a Custom GPT uses knowledge files as background for a task like writing quotes.
Citations vs correctness
A citation shows where an answer came from. It doesn't prove the summary of that passage is right, so read the cited text when it matters.
Tips
- Make one notebook per topic (the employee handbook, one client's contract set) so answers don't mix sources.
- Remove outdated versions of a document before you ask questions.
- Check your company's rules before uploading contracts or customer data.

Frequently asked questions
- Does NotebookLM answer from outside my sources?
- It is designed to base answers on the sources in the notebook. If the answer isn't in them, ask it to say so rather than fill the gap.
- What else can NotebookLM make from my documents?
- Besides answering questions, it can create summaries, study guides and audio overviews, which are podcast-style discussions of your sources. Features change, so check what's current.
