What is an output format in a prompt?
Updated · By Robert Breen
The output format is the part of a prompt that tells the AI what shape the answer should take: how long it is, what sections it has and in what order, whether to use bullets or paragraphs, and what to include or leave off, like a subject line.
Why it matters for a small business
Most editing time after an AI answer goes into reshaping it, not fixing facts: cutting it down, moving the price to the end, deleting the heading you didn't want. Stating the format up front removes that work. It also makes outputs consistent, which matters when customers see dozens of estimates or emails from the same business.
Format is also where you match the destination. An email reply in an existing thread needs no subject line. A text message needs to be short. An estimate a homeowner will approve needs the price and the next step where they can find them.
In a real lesson: Build an AI Estimate Writer for Your HVAC Company
In Build an AI Estimate Writer for Your HVAC Company, you create a Custom GPT for Cedar Ridge Heating & Air, a made-up residential HVAC company. The bare prompt Write an estimate description for a new AC install for my HVAC company gets a generic answer, so you click Paste instructions to give the GPT its rules.
A whole section, STRUCTURE, is the output format. It fixes the order of every estimate: start with a one-line summary of the job and the equipment; then "What's included" as a short bulleted list of the work, parts, permit and cleanup; then the price, the warranty and how long the job takes; and end with one clear next step, reply to approve or call the office. It also caps every estimate at 200 words.
Because that layout lives in the GPT's instructions, the technician only types the job notes. Every estimate comes out in the same order, so homeowners always know where to look for the price and what to do next.

Common confusions
Output format vs structured output
Output format is any instruction about shape, including prose layouts like the estimate. Structured output is a stricter case: fixed fields or columns, often a table or JSON, that a spreadsheet or another program can read reliably.
Output format vs constraints
Format describes the shape of a good answer. Prompt constraints are the limits and rules it must not break, such as "never invent a price." They overlap at length limits, which are both.
Tips
- Describe the order section by section, the way the HVAC instructions do, instead of saying "make it professional."
- Name what to leave out as well: no subject line, no sign-off, no headings.
- If you plan to paste the result into email, ask for plain text so you don't get Markdown symbols.

Frequently asked questions
- Where should the format go in a prompt?
- Anywhere, but the end of the prompt is common and easy to check. In a Custom GPT or agent, put it in the standing instructions so it applies every time.
- Why does the AI ignore my length limit sometimes?
- Models estimate length loosely. Give a specific number ("under 200 words"), and ask for a shorter version if it runs over.
