Knowledge files are documents you upload to a Custom GPT, such as a price list, a style guide or a policy, so it can look up your real details when it answers. They give the GPT facts to draw on, while its instructions still decide how it behaves.

Why it matters for a small business

A GPT that writes quotes without your price list will invent prices that sound plausible. Uploading the real document turns guesses into lookups, and when prices change you swap one file instead of rewriting the instructions.

Files are also the best place for examples. A sample quote, a past email that worked or a filled-in checklist shows the GPT what good looks like in your business more clearly than any description of it.

The file holds the service call fee, the water heater, drain, leak and sump pump prices, the warranty and a sample quote. The instructions point at it by name: only quote services and prices from the Services & Pricing document, state each price as a range or flat rate exactly as the list shows it, and if a job isn't on the list, say the price will be confirmed after an on-site look.
