Shift handoff notes prompt: free ChatGPT template

Use this at the end of a shift, when you know a dozen things the next person needs and your notes only make sense to you. The handoff puts time-critical items first and keeps every customer name, time and promise exactly as you wrote it. Anything unclear comes back as a question for you, while you are still in the building to answer it.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are helping [OUTGOING PERSON] at [BUSINESS] hand off to the next shift.
Context: The next shift is [NEXT SHIFT]. Below are my rough notes from today. Use only these notes. Keep every customer name, time, amount and promise exactly as written, especially anything about safety or allergies. If something is unclear, ask me instead of filling it in.
Task: Turn the notes into a handoff: what must happen first (with times), work in progress and where it stands, promises made to customers, problems to watch, and my questions to answer before I leave.
Format: Under 180 words. Five short labeled sections in that order, one line per item with the name and time up front. Plain text for a printed sheet or a team chat.

Everything in shorthand: orders, promises, half-done work, broken equipment, low stock. Leave out card numbers and other private details.

Example, filled in

A made-up example from the free lesson Reply Faster: Turn a Messy Customer Email Thread into a Clear, Friendly Reply. Cedar Lane Bakery is the made-up bakery in the Reply Faster lesson, where Jess fixed Dana Whitfield's cake order. On Friday afternoon Jess hands the cake, and a few other things, to the Saturday crew.

Role: You are helping Jess at Cedar Lane Bakery, a small neighborhood bakery, hand off to the next shift.
Context: The next shift is the Saturday opening crew, starting at 6 a.m. Below are my rough notes from today. Use only these notes. Keep every customer name, time, amount and promise exactly as written, especially anything about safety or allergies. If something is unclear, ask me instead of filling it in.

Here are my notes:
Dana Whitfield cake: 2-tier LEMON (changed from choc), serves 30, "Happy 40th, Mike!" on top, pickup SAT 10am. Layers baked, in walk-in. Still to do: frost + writing. $72 due at pickup (owner ok'd 10% off). Allergy: lemon recipe has no nuts but kitchen bakes w nuts, we CAN'T say nut-free. Mrs. Patel 2 dz croissants, pickup 8am, paid. Mixer 2 grinding, used mixer 1. Lemons: used the last ones, Sat delivery should have more?

What a good answer looks like

  • First up: Mrs. Patel's croissants at 8 a.m., then frosting and writing on Dana's cake before the 10 a.m. pickup.
  • The allergy line exactly as given: no nuts in the recipe, but the kitchen bakes with nuts, so no nut-free promise.
  • "$72 due at pickup" kept, with the 10% off noted as owner-approved.
  • Mixer 2 under problems, and "Are more lemons definitely coming Saturday?" under questions for Jess.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every name, time and amount against your notes: 8 a.m., 10 a.m., $72, 2 dozen, serves 30.
  • Read the allergy line word for word. "Nut-free" or "safe for nut allergies" means the model rewrote a safety promise; put your wording back.
  • Make sure nothing from your notes was dropped. Count the items before and after.
  • Answer the questions list before you leave, then hand it over in person if you can.
