AI for Account Managers and Customer Success: Call Notes, Status Updates, Scope Creep, Renewals and Review Decks

What you’ll be able to do: After this course you can keep each client's context in its own ChatGPT Project so you stop re-explaining, take a client call with Granola and get the notes and follow-up email written for you, and turn rough meeting notes into a one-page client update in Word. Then you set up an n8n workflow that drafts every client's Monday status email from your tracker, answer a scope-creep request without giving away free work or a date you cannot keep, build a Capsule CRM renewal track that books the call 90 days out and the signature by 30, brief Beautiful.ai into a quarterly review deck with every figure checked, and give clients a Softr portal where each one sees only their own work.

Why this course

Picture Priya, an account manager at a 40-person managed IT firm with 35 client accounts. Monday is status emails, each one slightly different, each one late by Wednesday. Tuesday's client call produces a page of notes nobody turns into actions. One client has asked for 'one small extra' that is really a new project, another's contract renews in six weeks and nobody has called them, and the quarterly review deck is due Friday from numbers in four places. None of this is hard; all of it is writing, and it eats the week.

This course takes the week in order. Step 1: one ChatGPT Project per client so each chat already knows the account. Steps 2 and 3: the call, with Granola writing the notes and follow-up from the transcript, then the notes turned into a one-page client update in Word. Step 4: Monday status emails drafted for every client by an n8n workflow that reads your tracker. Step 5: the scope-creep reply that keeps the client and the margin. Step 6: a Capsule CRM renewal track that sets the call at 90 days, the quote at 60 and the signature by 30, for every contract. Step 7: the quarterly review deck from a brief in Beautiful.ai, every figure checked. Step 8: a Softr client portal that ends the 'where is my draft?' emails.

The payoff: clients hear from you on time every week, every call ends in actions a client can see, no renewal sneaks up, scope conversations happen in writing and early, and review decks take an hour instead of a day. You stay the one who signs off: the AI drafts, you check the budget, the dates and the promises, and you send. Each module is a practice copy of the real tool that checks your work, so you can start now with no account.

Who this course is for

Seven modules are beginner level and one (the n8n status-email workflow) is intermediate. You need a browser and the client calls, trackers and contracts you already manage. Do the modules in order, or start with the job that costs you the most time this week.

You can already

  • Own client relationships: updates, calls, renewals or reviews
  • Use email, a spreadsheet or tracker and a slide tool day to day
  • Nothing else: no code and no accounts to start (the practice runs in your browser)

After this course you can

  • Keep each client's instructions and files in a ChatGPT Project and stop re-explaining
  • Turn a client call into notes, a follow-up email and a one-page written update
  • Draft every client's weekly status email automatically from your tracker, with a person sending
  • Answer scope-creep and extra-work requests without free work or dates you cannot keep
  • Run a renewal track in Capsule CRM, build a quarterly review deck from a brief and give clients a portal

What you’ll build

  • Module 1: A ChatGPT project for one client, with the client's rules in Project settings > Instructions. A new chat inside it that follows those rules without being told, and a normal chat that shows you why that matters.
  • Module 3: A Word document called "Client update, Harbor Accounting": a Title, three Heading 1 sections (Summary, What we did, Next steps), a bulleted list of the work done, a 3-column next-steps table with a dark header row, and a comment on one due date.
  • Module 4: A four-step workflow in a line: Schedule Trigger, Get row(s) in sheet, Message a model and Create a draft. n8n runs the steps after the sheet once per row, so five clients means five AI calls and five drafts.
  • Module 5: You are Theo, the project lead at Quillmark Studio, a made-up web design agency, halfway through a 6-page redesign for Tobin Street Coffee (also made up). Rachel, the client, wants an online shop page and a Spanish version, still by the Nov 6 launch she has printed on flyers, and you are a day late answering.
  • Module 8: You run client services at a made-up marketing agency. You describe a client portal to Softr's AI, then preview it as a client, fix what you find, and test again.
  1. Module 1 · ChatGPT · Beginner · ~8 min

ChatGPT Projects vs Chats: Keep Each Client's Work Together and Stop Re-explaining

You’ll be able to: Step 1, one place per client: give a client a ChatGPT Project with its own instructions, watch a new chat follow them and a normal chat ignore them, and know when a plain chat is enough.

  2. Module 2 · Granola · Beginner · ~5 min

Granola: client call notes written for you, with no meeting bot

You’ll be able to: Step 2, the call writes itself up: jot a few lines during a client call, let Granola write the notes from the transcript, check the budget against its source and draft the follow-up email.

  3. Module 3 · Word · Beginner · ~12 min

Word for the Web: Turn Meeting Notes into a Client Update

You’ll be able to: Step 3, the written update: turn rough meeting notes into a one-page client update in Word for the web, with heading styles, a next-steps table and a comment for a colleague.

  4. Module 4 · n8n · Intermediate · ~14 min

n8n: Weekly Client Status Emails from a Google Sheet, Written by AI

You’ll be able to: Step 4, Monday handled: build an n8n workflow that reads your client tracker every Monday, has AI write a friendly update for each client and saves it as a Gmail draft for you to check.

  5. Module 5 · ChatGPT · Beginner · ~9 min

Handle Scope Creep Without Losing the Client using ChatGPT

You’ll be able to: Step 5, the 'one small extra': give ChatGPT the thread and the project facts, catch the free work and the launch date you cannot promise, and send a clear reply from Gmail.

  6. Module 6 · Capsule CRM · Beginner · ~20 min

Capsule CRM: Never Miss a Contract Renewal

You’ll be able to: Step 6, no renewal sneaks up: price a missed renewal, then build a Capsule CRM track that sets a call 90 days before each contract ends, a quote at 60 and a signature by 30, and pull up this month's renewal call list.

  7. Module 7 · Beautiful.ai · Beginner · ~6 min

Beautiful.ai: a client review deck from your brief in under an hour

You’ll be able to: Step 7, the quarterly review deck: brief Beautiful.ai with the real numbers, fix the outline before it generates, check every figure and share a link.

  8. Module 8 · Softr · Beginner · ~14 min

Softr: Build a Client Portal Where Each Client Sees Only Their Own Work

You’ll be able to: Step 8, the end of 'where is my draft?': describe a client portal to Softr's AI, preview it as a client, and prove one client cannot see another's work.

Prerequisites

  • For the practice: a web browser. Each module runs in a copy of the real tool’s screens, so you need no account and no sign-up to start module 1.
  • To do it for real: a ChatGPT account, a free Microsoft account, an n8n account, an OpenAI API key and a Softr account. Each module says which one it uses.

Time to complete

About 1.5 hours of hands-on practice across 8 modules (241 steps in all). Modules take 5 to 20 minutes each, so you can do one in a sitting and come back for the next.

Questions about this course

How can account managers use AI day to day?

For the writing that fills the week: call notes and follow-ups, weekly status emails, client updates, scope and change-request replies, renewal reminders and review decks. This course does each of those as a hands-on module, in order, and every module ends with you checking the numbers, dates and promises before a client sees anything.

Which AI tools are best for customer success and account management?

In this course: ChatGPT Projects to keep each client's context, Granola for call notes without a meeting bot, Word for the web for the written update, n8n for automatic weekly status drafts, Capsule CRM for a renewal track, Beautiful.ai for review decks and Softr for a client portal. Each is used on its real screens, and the ideas (one project per client, draft then check, a track with dates) carry over to HubSpot, Gainsight, Gamma or whatever your firm already pays for.

Can AI write my weekly client status emails?

Yes, as drafts. Module 4 builds an n8n workflow that reads your client tracker every Monday, writes a friendly update for each client and saves it as a Gmail draft. You read each one and send. Nothing goes to a client without a person looking at it, which is the rule in every module of this course.

Will clients know I used AI?

They will see the same thing they always did: a clear update, on time, with correct numbers. Each module has you check the facts the AI used (the budget in the call notes, the figures in the deck, the dates in the scope reply) and fix the tone, so the message is yours. The course uses made-up clients; before you use real client data, set up ChatGPT's data controls with the course Use ChatGPT at Work Without Leaking Client Data.

Is there a free AI course for account managers?

Yes, this one: 8 short hands-on modules, about 88 minutes in all, in practice copies of ChatGPT, Granola, Word, n8n, Capsule CRM, Beautiful.ai and Softr. No credit card and no sign-up to start, and a free certificate when you finish a module.

How long does the course take?

The course takes about 88 minutes across 8 modules of 5 to 20 minutes each. It is self-paced: do one module between client calls, or start with the renewal track if that is the fire this week.
