Why this matters
“One small extra” requests arrive mid-project, and the easy reply is “sure, no problem”. Say that a few times and a fixed-price project quietly loses its margin, the launch slips, and the client is upset anyway because the date they were promised moves.
Say a flat no and the relationship cools. The reply that works explains the options, who decides and when, and keeps the client on your side.
In this module you give ChatGPT the client thread and the facts from your statement of work, get a draft, have ChatGPT check every promise against those facts, fix the lines that give away work or a date, and send a clear, friendly reply the same day.
What you’ll build
You are Theo, the project lead at Quillmark Studio, a made-up web design agency, halfway through a 6-page redesign for Tobin Street Coffee (also made up). Rachel, the client, wants an online shop page and a Spanish version, still by the Nov 6 launch she has printed on flyers, and you are a day late answering.
The reply apologizes once and answers each question in its own paragraph: the shop page needs a short change order from the account director by Wednesday, Oct 14, the agency does not translate but can build for Spanish later and introduce a translator, and Nov 6 holds for the six pages in scope.
What you need
- Nothing to start the practiceChatGPT and Gmail are practice copies. Rachel’s thread is already in the inbox.
- A ChatGPT account, to do it for realA free account at chatgpt.com works.
- The client’s email threadAny email app works, because you copy and paste.
- The facts from your statement of workWhat is in scope, how change orders work, who approves them and what is already locked. Leave out contract rates you are not allowed to share and other clients’ names. The download has the lesson’s nine facts and a blank list.
Concepts
3 ideas you’ll use in the practice.
Scope facts, not good intentions
ChatGPT will happily be generous with your time. Give it the scope as written: 6 pages, 2 rounds of revisions, the shop page is not included, and adding it needs a written change order.
Then say who decides. In the lesson, Maya Brandt, the account director, approves every change order and sets the final price. The project lead cannot agree to new work, a price or a new date.
Check for free work and dates
The practice draft offers the shop page “at no extra cost” and promises “everything” on Nov 6. Both sound helpful, and neither is in the facts.
Ask for a table of every promise next to the fact that backs it up. In the lesson, three of five lines match a fact and two are flagged.
Be a partner, not a gatekeeper
The tone in the request is “friendly, clear and on her side”. The fixed reply still says yes to what is possible: a change order with price and timing, a translator introduction, and a launch date that holds for the work in scope.
Ask for one short paragraph per question, read it last yourself, and send it the same day.
Practice
Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.
Do it for real
Now repeat it in your own account. Tick each step as you go.

Quick check
3 questions to check you’ve got it.
1. The draft says the shop page is included “at no extra cost” because it is one page. What do you do?
- Keep it, it builds goodwill
- Replace it: it needs a change order, and the account director sets the price
- Say no to the shop page
Show the answer
Replace it: it needs a change order, and the account director sets the price. The shop page is not in the statement of work. Explain the change order and who decides.
2. Rachel wants everything by Nov 6. What can the reply promise?
- Everything launches Nov 6
- Nov 6 holds for the six pages in scope; the change order gives the new date if the shop page is added
- No date at all
Show the answer
Nov 6 holds for the six pages in scope; the change order gives the new date if the shop page is added. That is what the facts support, and it lets her decide before the flyers go out.
3. What should you leave out of the facts you paste?
- The launch date
- Contract rates you are not allowed to share and other clients’ names
- The account director’s name
Show the answer
Contract rates you are not allowed to share and other clients’ names. Paste only what the reply needs.
