Quarterly report summary prompt: results, causes and next quarter

Reports and planningSalesOperationsWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

To write a quarterly report summary with ChatGPT, paste the quarter's numbers, last quarter's numbers, the target and your notes into the prompt below. You get a summary leadership can read in two minutes: the result against target, the change from last quarter, the top accounts, what was lost and why, and the plan for next quarter. Most quarterly summaries are rebuilt by hand from the same reports every three months, and the slow part is not the writing. It is checking that every number on the page matches the source.

This prompt is built for that check. It quotes every figure exactly and labels any percent it works out, so you can tick each one off. For a long report someone else wrote, use the executive summary prompt. For month-to-month operations, use the monthly operations report prompt.

Have a professional review it. This prompt helps you explain your own numbers, not give financial advice. Have your accountant or financial advisor review anything you will act on.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are helping the [YOUR ROLE] at [BUSINESS] write the quarterly report summary for [READER].
Context: Below are the numbers and my notes for [QUARTER]. Use only these. Quote every figure exactly as given. If you work out a percent or a difference, label it "calculated" so I can check it. Give a reason for a result only if my notes give one.
Task: Write the summary: the headline result against target, the change from last quarter, the top accounts or products, losses and the reasons in my notes, risks for next quarter, and next quarter's plan as listed in my notes.
Format: Under 300 words. A three-line headline paragraph, then short headed sections. A small table for the numbers. End with "Figures to verify:" listing each calculated number.

Numbers and notes:
[QUARTER NUMBERS AND NOTES]

Fill in the blanks

[YOUR ROLE]
Who writes it, such as "sales manager" or "operations lead."
[BUSINESS]
Your business name and what it sells.
[READER]
Leadership, the owner or a board. It sets the level of detail.
[QUARTER]
The quarter and year, such as Q3 2026.
[QUARTER NUMBERS AND NOTES]
Revenue or volume, target, last quarter, top accounts, losses and your plan. Copy the figures from the report itself.

Example, filled in

A made-up example from the free lesson Presentations.AI: Build a Quarterly Sales Review Deck from Your Notes. Brightwell Office Supply and Dana Whitfield, its sales manager, are made up and come from the Presentations.AI quarterly sales deck lesson. The Q3 figures below are the lesson's own example numbers. Here Dana writes the one-page summary that goes out with the deck.

Role: You are helping the sales manager at Brightwell Office Supply, an office supply company, write the quarterly report summary for the leadership team.
Context: Below are the numbers and my notes for Q3 2026.

Revenue $412K, up 8% vs Q2. Target $400K (103%).
Top accounts: Harbor Dental $64K, Lakeview Law $51K, Pine Ridge Realty $38K.
Lost: Summit Clinic and Oak Street Accounting, both went with a cheaper online supplier.
Q4 plan: win back lost deals, upsell top accounts, launch a delivery subscription.

What a good answer looks like

  • A headline that says revenue was $412K, 103% of the $400K target and up 8% from Q2.
  • The three top accounts with their exact amounts, in a small table.
  • Both lost deals named, with the reason from the notes: a cheaper online supplier. No extra causes.
  • "Figures to verify" listing anything it calculated, such as the three top accounts' combined share of revenue.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Tick every figure against the source report, starting with the calculated ones.
  • Delete any risk or reason that is not in your notes.
  • Check that the Q4 plan matches what leadership already agreed, not what sounds good.
  • Have whoever owns the numbers, often finance, confirm the totals before it goes out.

Frequently asked questions

What goes in a quarterly report summary?
The result against target, the change from last quarter, the top accounts or products, what was lost and why, the risks ahead and next quarter's plan. Keep it to one page with a small table of numbers.
Can ChatGPT summarize a quarterly report?
Yes, if you paste the figures and notes and tell it to quote numbers exactly and label anything it calculates. Then check each figure against the source before anyone sees it.
How long should a quarterly summary be?
About one page, under 300 words. Leadership reads the first three lines, so the result against target goes there.
