Monthly operations report prompt: one page the owner will actually read
Updated · By Robert Breen
To write a monthly operations report with ChatGPT, paste this month's numbers, last month's numbers, your targets and your notes into the prompt below. It returns a one-page report: a three-line summary, a table of each measure against last month and target, the reasons your notes give for the big moves, open problems with owners, and next month's focus. Owners skim monthly reports for two things: is anything getting worse, and what are you doing about it. This puts both on the first screen.
It differs from a weekly team report, which tracks one week against the last. A month shows trends, so this prompt adds targets and a short "watch next month" list. Like the weekly one, it never invents a reason your notes don't give.
The prompt
Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.
Role: You are helping the [YOUR ROLE] at [BUSINESS] write the monthly operations report for [READER]. Context: Below are this month's numbers, last month's numbers, our targets and my notes for [MONTH]. Use only these. Show both numbers every time you compare. Only give a reason for a change if my notes give one; otherwise write "Reason not in notes." Task: Write the report: a summary of three lines or fewer, a table of each measure with this month, last month, target and the change, the two or three biggest moves and their reasons from my notes, open problems with an owner each, and three items to watch next month. Format: One page, under 350 words. Headed sections in that order. Numbers exactly as given. Plain words, no "headwinds" or "synergies." Numbers and notes: [NUMBERS AND NOTES]
Fill in the blanks
[YOUR ROLE]- Who writes it, such as "operations manager."
[BUSINESS]- Your business name and what it does.
[READER]- Who reads it: the owner, a leadership team or a board. It sets how much detail fits.
[MONTH]- The month and year the report covers.
[NUMBERS AND NOTES]- Each measure with this month, last month and target, plus your notes on what happened. Copy figures from your system, not from memory.
Example, filled in
A made-up example from the free lesson Build an AI Maintenance and IT Request Form. Ridgeline Supply Co. is the made-up warehouse business in the maintenance and IT request form lesson, where every request lands in a Google Sheet with a priority and a team. Here the operations manager writes the September report for the owner. The numbers are an illustration.
Role: You are helping the operations manager at Ridgeline Supply Co., a small warehouse and distribution business, write the monthly operations report for the owner. Context: Below are this month's numbers, last month's numbers, our targets and my notes for September 2026. Plain words, no "headwinds" or "synergies." Numbers and notes: Orders shipped: 1,840 (Aug 1,712, target 1,800) On-time shipping: 94% (Aug 97%, target 96%) Maintenance and IT requests: 41 (Aug 29), urgent 6 (Aug 2) Average request close time: 2.1 days (Aug 1.6) Notes: dock door 3 out 9 days, parts back-ordered. New scanner rollout week 2 caused most IT requests. Andre leads dock door follow-up.
What a good answer looks like
- A summary that says shipping volume beat target while on-time shipping fell from 97% to 94%, below the 96% target.
- A table with all four columns for every measure, so the owner can check any number.
- Dock door 3 and the scanner rollout given as reasons, because the notes say so. Nothing about staffing or seasonality.
- Dock door 3 listed as an open problem with Andre as owner, and request close time on the watch list.
How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.
- Recalculate each change yourself. A percent change and a point change are easy to mix up.
- Delete any reason that is not in your notes, even if it sounds right.
- Confirm each owner agreed to own the item before the report names them.
- Keep last month's report open and make sure the same measures are reported the same way.

Frequently asked questions
- What should a monthly operations report include?
- A short summary, each key measure against last month and target, the reasons behind the biggest changes, open problems with an owner, and what to watch next month. One page is enough for most owners.
- Can ChatGPT write a monthly report from my numbers?
- Yes, if you paste the numbers and your notes and tell it to use only those. Tell it to write "Reason not in notes" rather than explain a change, or it will guess.
- What is the difference between a weekly and a monthly operations report?
- A weekly report compares one week with the last and flags what needs action now. A monthly report adds targets and trends, and helps the owner decide where to spend attention next month.
