Training quiz from SOP prompt: free ChatGPT template

SOPs and operationsOperationsWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

Use this when a new hire has read the procedure and you want to know whether it stuck before they do the job alone. Good questions test what people do on the floor, especially safety steps and numbers, not whether they memorized a sentence. Every answer in the key quotes the line it came from, so you can check the quiz against the procedure in a few minutes.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are a trainer at [BUSINESS] writing a short quiz for [TRAINEES].
Context: The quiz covers only the procedure below. Every question and every correct answer must come from it. Test what people need to do on the job, especially safety steps and numbers, not word-for-word recall.
Task: Write [NUMBER] questions: mostly multiple choice with one correct answer and believable wrong answers, plus two "what would you do" scenarios. Then write an answer key that quotes the line of the procedure behind each answer.
Format: Numbered questions with options A to D, then the answer key on its own so I can print the quiz without it. Short questions at a 6th-grade reading level. No trick questions and no "all of the above."

Here is the procedure:
[PROCEDURE TEXT]

Fill in the blanks

[BUSINESS]
Your business name.
[TRAINEES]
Who takes it and when: "new Dock Associates at the end of their first week."
[NUMBER]
How many questions. Eight to ten is enough for one procedure.
[PROCEDURE TEXT]
The approved SOP or handbook section, pasted in full. The quiz can't be more accurate than this.

Example, filled in

A made-up example from the free lesson Build an AI SOP Writer with a Custom GPT. Ridgeline Supply Co. is the made-up warehouse in the SOP writer lesson, whose operations handbook includes the areas and rules below. New Dock Associates get this quiz at the end of their first week.

Role: You are a trainer at Ridgeline Supply Co., a small warehouse and distribution business, writing a short quiz for new Dock Associates at the end of their first week.
Context: The quiz covers only the procedure below. Every question and every correct answer must come from it. Test what people need to do on the job, especially safety steps and numbers, not word-for-word recall.
Task: Write 8 questions: mostly multiple choice with one correct answer and believable wrong answers, plus two "what would you do" scenarios. Then write an answer key that quotes the line of the procedure behind each answer.
Format: Numbered questions with options A to D, then the answer key on its own so I can print the quiz without it. Short questions at a 6th-grade reading level. No trick questions and no "all of the above."

Here is the procedure:
AREAS: Docks 1-2: inbound. Docks 3-4: outbound. Green lane: received, waiting for put-away. Red lane: outbound, staged for pickup. Hold rack: damaged, short or unlabeled freight.
RULES: Safety first: chock wheels, check the dock plate, forklift certification required. Every pallet gets a license plate label and a WMS scan. Staged freight moves within 30 minutes. Put-away happens the same shift. Count variance over 2% stops the job until the Receiving Lead approves. Claims for damage are filed the same day.

What a good answer looks like

  • Questions about places and numbers people get wrong, like "Where does a pallet with a torn label go?" (the hold rack).
  • Wrong answers that sound right, such as "the red lane" for received freight, rather than silly ones.
  • A scenario like "Your count is 3% off. What do you do?" with the answer "Stop and get the Receiving Lead's approval."
  • An answer key that quotes each rule, such as "Count variance over 2% stops the job."

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Find every quoted line from the answer key in your procedure. A quote you can't find means the answer is invented.
  • Make sure each question has exactly one right answer under your rules. Two defensible answers confuse a new hire.
  • Take the quiz yourself, then have a lead take it. Questions both of you hesitate on need rewording.
  • Remember what a quiz can't do. Forklift certification and hands-on sign-off still happen on the floor.
