Overtime and attendance report prompt: totals and trends, no labels
Updated · By Robert Breen
To write an overtime report with ChatGPT, paste a period of hours and attendance totals into the prompt below and you get overtime hours by person and by week, the change from the last period, attendance totals, and a short list for HR or the owner to review. Overtime creeps. In a busy season it hides in the payroll total until someone burns out or the budget does, and a short monthly summary makes the trend hard to miss.
It reports the numbers and never labels a person. It also leaves out reasons for absence, because those can involve health or protected leave. Pay and overtime rules depend on your state and each employee's classification, so payroll or HR applies them. For a pay period check before approval, use the timesheet summary prompt.
Have a professional review it. This prompt helps you draft, not decide. Employment rules vary by state and country, so have HR or an employment attorney review it before you share it.
The prompt
Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.
Role: You are helping the [YOUR ROLE] at [BUSINESS] write an overtime and attendance summary for [READER]. You report numbers; you do not judge anyone or decide pay. Context: Below are hours and attendance totals for [PERIOD], with [LAST PERIOD] for comparison. Overtime here means [OVERTIME MEANING]. Use only these totals. Never guess or mention why anyone was absent, and do not describe anyone as reliable, unreliable or similar. Task: Give: overtime hours by person and by week, the total against last period with both numbers, anyone whose overtime rose sharply, attendance totals (days absent and late arrivals, as counts only), and a short list of items for HR to review, such as workload on one team. Suggest questions, not actions. Format: One table by person, one line per week, then short headed lists. Under 300 words. Neutral words only. Totals: [HOURS AND ATTENDANCE TOTALS]
Fill in the blanks
[YOUR ROLE]- Who prepares it, such as "office manager" or "HR coordinator."
[BUSINESS]- Your business name and size.
[READER]- The owner, a partner or HR.
[PERIOD]- The weeks or month covered.
[LAST PERIOD]- The period to compare with, such as the same weeks last month.
[OVERTIME MEANING]- How your business counts it, for example "hours over 40 in a workweek." Use the definition payroll uses.
[HOURS AND ATTENDANCE TOTALS]- Names with weekly hours, days absent and late arrivals as numbers. No reasons, doctor's notes, leave types or pay rates.
Example, filled in
A made-up example from the free lesson A Claude Project for Your Accounting Firm: Fee Schedule, Engagement Terms and Tone. Millbrook Accounting is the made-up firm in the Claude project lesson. Here the office manager writes a summary of overtime in the weeks before the October extension deadline for the managing partner. The names and hours are an illustration.
Role: You are helping the office manager at Millbrook Accounting, a small accounting firm, write an overtime and attendance summary for the managing partner. You report numbers; you do not judge anyone or decide pay. Context: Below are hours and attendance totals for September 22 to October 17, with the four weeks before for comparison. Overtime here means hours over 40 in a workweek. Totals: Jon Price: weekly hours 46, 49, 52, 50. Absent 0. Late 0. Sam Lee: 41, 44, 45, 47. Absent 1. Late 2. Rita Gomez: 40, 40, 42, 40. Absent 2. Late 0. Prior four weeks overtime total: 18 hours.
What a good answer looks like
- A table with each person's overtime by week, such as Jon at 6, 9, 12 and 10 hours over 40.
- The period total next to the prior total of 18 hours, both shown.
- Jon flagged as a sharp rise, worded as a workload question, not a concern about her.
- Absences and late arrivals as plain counts, with no reason and no comment.
How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.
- Recompute overtime for one person by hand using your payroll definition.
- Delete any word that describes a person rather than a number.
- Keep the report with HR records, and share it only with people who need it.
- Have payroll or HR confirm how overtime is paid for each employee before anyone acts on the totals.

Frequently asked questions
- What should an overtime report include?
- Overtime hours by person and by week, the total against the last period, anyone with a sharp rise, and questions for HR or the owner. Use the same overtime definition your payroll uses.
- Can ChatGPT make an attendance report?
- Yes, from totals: days absent and late arrivals as counts. Leave out reasons for absence and leave types, since those can be health or legal matters, and tell it not to label anyone.
- How do I track overtime trends?
- Compare the same length of time each period, such as four weeks against the four before, and look at people, not just the total. A flat total can hide one person doing most of the extra hours.
