ChatGPT project charter prompt: turn kickoff notes into a one-pager
Updated · By Robert Breen
To write a project charter with ChatGPT, copy the prompt below, fill in the project name and your role, and paste your kickoff call notes or transcript. It returns a one-page charter: purpose, scope, what is out of scope, timeline, budget, people and responsibilities, risks and open questions. Use it right after a kickoff so everyone signs off on the same page.
A charter only helps if it matches what was agreed. The prompt tells the AI to take scope, dates and money only from your notes and to list what nobody said, so you can settle it before work starts.
The prompt
Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.
Role: You are helping [YOUR ROLE] at [COMPANY] write a one-page project charter for [PROJECT NAME]. Context: Use only the kickoff notes below. Keep what the client or sponsor stated separate from what we assume. Do not invent scope, dates, budget figures or names. If something is not stated, write "Not stated" and add it to the open questions. Task: Write the charter: purpose in two sentences, in scope, out of scope, timeline with milestones, budget, people and who owns what, risks, and open questions that must be answered before work starts. Format: Headed sections in that order, short bullets, plain words, under 400 words. Add a final line: "Needs sign-off from:" with the names mentioned in the notes. Here are the kickoff notes: [KICKOFF NOTES]
Fill in the blanks
[YOUR ROLE]- Your title, such as account manager or project lead.
[COMPANY]- Your company or team name.
[PROJECT NAME]- A short name everyone will recognize.
[KICKOFF NOTES]- The transcript or your typed notes. Remove prices you do not want in the draft and any personal details.
Example, filled in
A made-up example from the free lesson Turn a Client Kickoff Call into a Proposal Outline with ChatGPT (Agencies & Consultants). Alder Creek Physical Therapy is the made-up prospective client in the kickoff call lesson, where a small marketing agency learns the scope, timeline and budget. The details below illustrate how the agency's account manager might fill the prompt in.
Role: You are helping the account manager at a small marketing agency write a one-page project charter for the Alder Creek Physical Therapy website and referral campaign. Here are the kickoff notes: The client wants a refreshed website and a referral campaign for local doctors. Ben will run a website audit by Thursday. Nadia will send the full proposal by October 30. Budget was mentioned but the final number was not agreed. Nobody said who approves the copy on the client side.
What a good answer looks like
- Scope lists only what the client stated: the refreshed website and the referral campaign for local doctors.
- Ben's audit (Thursday) and Nadia's proposal (October 30) appear as milestones with owners.
- The budget reads "Not stated: mentioned but not agreed" instead of a made-up figure.
- Open questions include who approves copy on the client side.
How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.
- Send the charter to the client and ask them to correct it. A charter is only real once both sides agree.
- Compare every date, name and dollar amount with your notes before it goes out.
- Make sure out-of-scope items are things you actually discussed, not the AI's guesses.
- Move every "Not stated" into a plan: who will ask, and by when.
Why this prompt works
Most project trouble starts with scope that was never written down. A charter built from the kickoff, with a list of what nobody said, turns vague agreement into questions you can answer in the first week.
Practice it in the free lesson
Turn a Client Kickoff Call into a Proposal Outline with ChatGPT (Agencies & Consultants): Turn the transcript of a client kickoff call into the scope, budget and timeline the client stated, an action items table, open questions, and a recap email with a proposal outline. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.

- How is a charter different from a statement of work?
- A charter is an internal or shared one-pager on goals and roles. A statement of work is the formal, usually contractual description of deliverables and payment.
