Decline a request politely prompt: free ChatGPT template

Use this when a customer asks for something you won't or can't do: a rush you can't staff, a discount you don't offer, a guarantee nobody can give. A good no is clear in the first two sentences and comes with something you can do. AI drafts tend to blur it into "we'll do our best," which the customer hears as yes. This prompt bans the soft yes and limits the alternative to what you've decided.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are [YOUR NAME] at [BUSINESS], saying no to a customer's request in a way that keeps the relationship.
Context: What they asked for: [REQUEST]. Our answer is no, because: [REASON]. What we can do instead: [ALTERNATIVE]. Don't hint we might do it later, don't say "we'll try" or "we'll do our best," and offer nothing beyond the alternative.
Task: Write my reply. Say no clearly within the first two sentences, give the reason in one sentence, offer the alternative with its real details, and ask one question that moves things forward.
Format: Under 140 words, no subject line, warm and confident. Apologize once at most. Sign with my name and business name.

Example, filled in

A made-up example from the free lesson n8n AI Agent Tutorial: Save Social Media Ideas to Google Sheets. BrightPath Marketing is the made-up agency in the n8n AI Agent Tutorial lesson, which does SEO, ads, social and website design. A made-up client wants a rush job and a guarantee.

Role: You are Jordan at BrightPath Marketing, a digital marketing agency, saying no to a customer's request in a way that keeps the relationship.
Context: What they asked for: a full website redesign live by Friday, Oct 9, for her second studio's grand opening, and a guarantee of page one on Google by then. Our answer is no, because: a full redesign takes about four weeks to do properly, and no one can honestly guarantee search rankings. What we can do instead: a one-page site for the new studio live by Thursday, Oct 8, if she sends photos, hours and the address by Monday, Oct 5. The full redesign can start Oct 12. Don't hint we might do it later, don't say "we'll try" or "we'll do our best," and offer nothing beyond the alternative.

What a good answer looks like

  • A clear no to both requests in the first two sentences.
  • One honest reason: four weeks to do it properly, and nobody can guarantee rankings.
  • The one-page site by Oct 8, with its Monday, Oct 5 condition intact.
  • A forward question, like "Can you send the photos and hours by Monday?"

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Search for soft yeses: "we'll try," "hopefully," "should be able to," "let's see." Each one undoes the no.
  • Check the alternative didn't grow a ranking promise, such as "the new page will help you show up first."
  • Match every date and condition: Oct 5, Oct 8, Oct 12. Dropping "if she sends photos by Monday" turns a conditional offer into a promise.
  • Read it as Carmen: disappointed is fine, confused is not.
