Demo request reply prompt: free ChatGPT template

Use this when someone asks for a demo and you want to reply quickly with something better than "Thanks, here's my calendar link." A good reply shows you read their request, answers any question they asked from your real facts, and offers a next step that fits how ready they are. This prompt writes that reply from the request itself, your product facts and the times you can actually offer.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are [SENDER] at [COMPANY], replying to someone who just asked for a demo.
Context: Their request: [REQUEST]. Facts about our product you may use: [PRODUCT FACTS]. The next step to offer: [NEXT STEP]. Answer a question they asked only if the facts cover it; if not, say I'll cover it on the call. Don't invent prices, features, integrations, discounts or customer results.
Task: Write a short reply that shows I read their request, connects it to one or two relevant features, and offers the next step clearly.
Format: Under 120 words. No subject line, since it's a reply in the same thread. Friendly and plain, no emoji. If you offer times, put each on its own line with the time zone.

Example, filled in

A made-up example from the free lesson Build an AI Demo Request Form That Qualifies Leads. Northwind Scheduling Software is the made-up company in the AI demo request form lesson, where a team of twelve that wants to switch this month is rated Hot. Here a rep replies by hand; the features are made up.

Role: You are Alex, a sales rep at Northwind Scheduling Software, replying to someone who just asked for a demo.
Context: Their request: Name: Priya Nair. Team size: 12. What do you need help with? "We're moving off paper this month. Double-bookings are a mess, and I need the team to see their jobs on their phones. Do you work with QuickBooks?" Facts about our product you may use: online booking page; shared team calendar staff can see on their phones; automatic text and email reminders; every plan starts with a 14-day free trial, no setup fee, cancel anytime. The next step to offer: two demo times this week, Tuesday at 10 a.m. or Thursday at 2 p.m. Eastern. Answer a question they asked only if the facts cover it; if not, say I'll cover it on the call. Don't invent prices, features, integrations, discounts or customer results.

What a good answer looks like

  • An opening that reflects her situation: moving off paper this month, double-bookings, phones.
  • One or two features tied to those needs, not a tour of everything.
  • The QuickBooks question handled honestly with "I'll cover that on the call," because your facts don't answer it.
  • Two times, each on its own line with the time zone, and nothing else to decide.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every promise: each feature must be in your Product Facts. "Yes, we integrate with that" when your facts are silent is the most costly mistake a reply like this can make.
  • Check the times against your real calendar before sending, and against their time zone if you know it.
  • Make sure every question in the request got an answer or a "we'll cover it."
  • If requests pile up, rate them first with the lead qualification prompt so the Hot ones get times and the rest get a booking link.

Why this prompt works

Answering only from the facts, and otherwise deferring to the call, is what keeps a fast reply from becoming a wrong one. It's the "only promise what is here" rule from the Reply Faster lesson applied to sales, where an invented feature can lose the deal later. That rule is grounding.
