AI Learning Path for Operations Managers

Operations managers should start with Same Task, Four Assistants, an 8-minute lesson that gives one office task to ChatGPT, Claude, Gemini and Microsoft Copilot and shows how to pick the one you can actually use at work. From there the path moves to meeting recaps, a deck built from rough notes, the three n8n buttons that make a workflow run for real, and an internal request form.

The first three lessons need no automation tool at all. The last two use n8n, and the last one adds Lovable, so you can stop after any step and still have something useful for Thursday's meeting.

Which lesson should you take first?

Take Same Task, Four Assistants first. You are Carla, the office manager at Ridgeline Insurance Agency, a made-up agency. You paste the same task into ChatGPT, Claude, Gemini and Copilot: a reminder email to a client and a table of this week's tasks. Then you ask for a change and score each answer on the facts: the date, the VIN request, the phone number and five rows in the right order.

All four get it right. The differences are style: Claude adds a tip about finding the VIN, Gemini adds a job title and phone number under the signature, and Copilot writes the shortest email. Those extras are things you didn't ask for, which is why you check them. The lesson's advice for work is simple: use the assistant your company already pays for and allows, because your company data stays under its rules.

You can see the same comparison in pictures in ChatGPT vs Claude vs Gemini vs Copilot: One Task, Compared.

What comes next, and why in this order?

Each step takes something an operations manager does every week and removes one more copy-and-paste. The order runs from checking answers by hand to workflows that run on their own.

Step 2: How do you turn a meeting into a recap with owners and dates?

Summarize a Meeting Transcript (9 minutes, ChatGPT) takes a Google Meet transcript from a Monday team meeting and asks for a short summary, the decisions, an action items table with an owner and a due date, and open questions. Two due dates come back as Not stated, which is the behavior you want: AI flagging a gap instead of guessing. Add the missing dates, ask for a follow-up email to the team, and send it the same day.

Step 3: How do you build a deck from rough notes?

A Presentation from Your Notes in 5 Minutes (Gamma) (9 minutes, Gamma) puts you in the seat of the operations manager at Brightwater Facilities Group, with a quarterly review on Thursday and a page of rough notes. You paste the notes into Gamma, choose Condense, give the title a real name, pick a theme, set the text to Concise and turn off AI images to save credits.

Then you open Agent, ask it to turn the Q4 plan into a month-by-month timeline, compare Original and Modified, reword one number by hand and export to PowerPoint and PDF. The lesson's reminder is worth keeping: Gamma writes its own version each time, so check the numbers before the deck goes to leadership. A picture version is in Gamma: Turn Rough Meeting Notes into a Deck in 5 Steps.

Step 4: What do Execute step, Execute workflow and Publish actually do?

Execute step, Execute workflow and Publish (6 minutes, n8n) teaches the three buttons in today's n8n editor on a small new-client form workflow. Execute step runs one node, pinned test data saves you from sending a new form every time, Execute workflow runs everything, and Publish turns it on. Green checks only mean a node ran, so you open the sheet and check the real result. The picture version is n8n Execute Step vs Execute Workflow vs Publish, and the Test URL against the Production URL is explained in n8n Webhook: Test URL vs Production URL.

Step 5: Can staff requests stop arriving as hallway conversations?

AI Maintenance & IT Request Form (15 minutes, Lovable plus n8n) builds an internal Report a Problem form for Ridgeline Supply Co., a made-up warehouse business. Staff enter what needs fixing and where. The agent sets a priority (Urgent, This week or Backlog), assigns Facilities, IT or Equipment, saves the request to a Requests sheet and emails a confirmation. Step 4 is the background that makes this one easier: a workflow only runs for real forms once it is published.

How fast should an operations manager go?

Do the first three lessons in one week and use each on real work before moving on: one recap after a real meeting, one deck from a real page of notes. Then take the n8n lessons one a week. The whole path is about 47 minutes of lessons; the useful part is the practice between them.

Costs to plan for when you run these for real:

  • Steps 1 and 2: the assistants have free plans to start, and paid and business plans add more. Check which one your company already provides.
  • Step 3: Gamma is a separate product with its own account, credits and plans. On the free plan, exported files carry a small Made by Gamma badge.
  • Steps 4 and 5: n8n has paid plans after a trial or can be self-hosted, and Lovable has its own plans. The request form's AI agent also needs an OpenAI API key, which is billed separately.

Get the owner's OK before anything goes on a company card.

What should you do after the path?

Pick the one recurring meeting that creates the most follow-up work and run it through the same routine for two weeks: transcript to recap, recap to action items, a person reads every owner and date before it goes out. For the recap email itself, try the meeting recap email prompt and the action items table prompt. For decks, the presentation outline prompt helps you decide the story before Gamma designs it.

The operations hub has more on internal requests and vendor follow-ups, and AI for Operations Teams maps a week of tasks. For the meeting routine in depth, read Turn a Meeting Transcript into Action Items. Terms you will meet: human in the loop and action items.

What should an operations manager not hand to AI?

Don't let AI make decisions that belong to a person. Use it for drafts, recaps, sorting and slides, and keep the commitments with people.

  • Numbers in a deck. Condense kept the lesson's numbers, but you still check each one against the source before leadership sees it.
  • Owners and dates in a recap. They become commitments the moment the email goes out. Read them first.
  • Private details. Leave card numbers, account numbers and personal data out of chats, and follow your company's rules for the assistant you use.
  • Publishing without reading. An agent that sets priorities and assigns requests should be checked against the sheet for the first weeks.

Key takeaways

  • Operations managers should start with Same Task, Four Assistants, an 8-minute lesson on choosing the assistant your company already pays for and allows.
  • The path then covers meeting recaps with owners and dates, a Gamma deck from rough notes, the three n8n buttons, and an internal request form that sets priorities.
  • The first three lessons need no automation tool; the last two use n8n, and the last adds Lovable.
  • AI marking a missing owner or date as Not stated is the behavior you want, not a failure.
  • Check every number, owner and date yourself before anything leaves the office.

Frequently asked questions

Do I need to know how to code for the n8n lessons?

No. You click nodes, pick options from dropdowns and paste text the lesson gives you.

Which assistant should an operations manager choose?

The lesson's answer is the one your company already pays for and allows. On Microsoft 365 that is Copilot Chat, and on Google Workspace it is Gemini.

Can I skip the request form lesson?

Yes. If staff requests already come through a system that works, stop after step 4. The form is most useful when requests arrive by hallway, text and sticky note.

Does Gamma make the deck without me checking it?

No. It writes a new version each time, so the lesson has you check the numbers, fix a line by hand and open the exported PowerPoint once to see how the cards landed on slides.
