Insurance agents should start with Reply Faster to Claim-Status Emails, a free 10-minute ChatGPT lesson. You give ChatGPT the client's thread and your agency's facts, let it draft, have it check every promise against those facts, fix the lines that promise too much, and send the reply from Gmail. Claim emails are where an agency most often gets asked for answers only the carrier can give, so the promise check matters most there.
The path is five free lessons and about 51 minutes. Three use ChatGPT only; the last two use n8n. For the agency-wide view, see the AI playbook for insurance agencies.
Which lesson should an insurance agent take first?
Take the claim-status lesson first. The example is Stonebridge Insurance Agency, a made-up independent agency, and Denise, a client who hit a deer and wants to know when the carrier will pay, whether her rental is covered and whether her rate will go up. Two of those three questions belong to the carrier.
You paste the thread, then eight numbered facts: the claim number and deductible, the adjuster and inspection, who decides payment and what the declarations page says about rental reimbursement. The draft answers what the agency can answer and points the rest to the right person, without guessing.
Why learn prompt structure second?
Because agency email repeats: renewal reminders, coverage questions, certificate requests, document requests. Prompt Writing 101 shows the four parts of a reliable request, Role, Context, Task and Format, and has you save one as a template. It takes 8 minutes. One template per message type gives every client the same careful wording.
When do you need the meeting summary lesson?
Take it if you run annual reviews or commercial account meetings. Summarize a Meeting Transcript turns a transcript into a summary, decisions, an action items table with owners and due dates, open questions and a follow-up email. It takes 9 minutes. After a coverage review, that table is your list of who sends what by when.
What do the two n8n lessons add for an agency?
- AI Email Responder builds an n8n agent that reads new Gmail messages and saves a reply draft in the same thread. Nothing is sent automatically. It takes 12 minutes. Keep it to routine questions like office hours, payment options and how to request a certificate.
- Build an n8n AI Agent That Writes Deal Follow-Ups builds an agent that takes a list of open deals, writes a follow-up matched to each one's stage and saves every message to a Google Sheet for review. It takes 12 minutes. The example is a software company; for an agency, the list would be open quotes and upcoming renewals.
Which prompts can you copy today?
Three prompts to paste into your agency's approved AI tool. Fill in the brackets.
You are an account manager at [AGENCY]. Here is a client's email: [PASTE]. Here are the facts, numbered: [FACTS]. Draft a calm, kind reply under 200 words. Answer only from the facts. If a question is the carrier's decision, say who decides and when we expect to hear. After the draft, list each promise and the fact number behind it.
Draft a renewal reminder to [CLIENT] for their [POLICY TYPE] policy renewing on [DATE]. Mention these changes only: [CHANGES]. Invite them to book a review at [LINK]. Under 120 words, plain language, no sales pressure.
List the documents a client usually needs to send for a [CLAIM TYPE] claim with [CARRIER], based only on these carrier instructions: [PASTE]. Write it as a short, friendly checklist email. Mark anything unclear as "CONFIRM WITH CARRIER".
Fuller versions with filled-in examples: claim status update email, coverage question reply, claim documents request, policy renewal reminder and renewal premium change explanation.
Terms to know: deductible, declarations page, claims adjuster, rental reimbursement coverage, first notice of loss and certificate of insurance.
How long will this take, and what do you need?
About 51 minutes in total. The practice versions are free. To work for real:
- Lessons 1 to 3 need an AI chat tool your agency has approved for client information, on a business plan with data controls.
- Lessons 4 and 5 need n8n (n8n Cloud has paid plans, or self-host) and an OpenAI API key, billed separately from ChatGPT plans.
Check each vendor's pricing page for current plans.

Free, and nothing touches your real accounts.
Start the free lessonWhat should an agent never let AI decide?
Never let AI interpret coverage or promise a claim outcome.
- Coverage is in the policy. AI can summarize a declarations page you paste; it can't tell a client what is covered. Point to the policy language and the carrier.
- No payment or rate promises. Payment dates and rating decisions belong to the carrier. The promise check exists to catch exactly these lines.
- Protect client data. Leave out license numbers, dates of birth and anything the reply doesn't need. Follow your agency's and carriers' rules on where client information may go.
Key takeaways
- Insurance agents should start with the claim-status lesson, which drafts from numbered facts and stops promises only the carrier can make.
- The five-lesson path takes about 51 minutes; three lessons need only ChatGPT.
- Saved templates keep renewal, certificate and coverage replies consistent.
- n8n can draft inbox replies and quote follow-ups for review, with nothing sent automatically.
Frequently asked questions
- Can AI answer coverage questions for my clients?
It can draft a reply from facts you give it, but a licensed person should confirm anything about coverage against the actual policy before it goes out.
- Does this work for captive agents too?
Yes. The lessons use an independent agency as the example, but the email routine is the same for a captive agency or a carrier's service team.
- Is it safe to paste a client's claim email into ChatGPT?
Use a business plan with data controls your agency has approved, and remove details the reply doesn't need, like a driver's license number.
