What is a candidate shortlist?
Quick answer
A candidate shortlist is the small group, usually three to six people, picked from a longer list of applicants or sourced profiles to get the next step: a call, an interview or an outreach email. Everyone else is declined or parked for later.

Why it matters for a small business
Hiring managers rarely have time to read every profile closely. A shortlist turns twenty or two hundred names into the handful that deserve that time, so the search keeps moving between other work.
How you build it decides who gets a chance. A list picked on job titles or familiar company names drops good people with unusual paths; a list picked on stated evidence against the same criteria is fairer and easier to explain later.
It also keeps the next step honest. When the list is short, every person on it gets a real reply instead of silence.

In the Pin candidate shortlist lesson Pin brings the top 20 matches for the Staff Accountant search from part 1. You read each card top to bottom: the answer to your qualifying question, then the criteria met with their evidence, and an orange dash for any gap.
You shortlist three people on stated evidence and click Confirm Shortlist, leave a "Probably" match for a second pass, and decline one with the reason Lacking Experience. Shortlisting is internal: nobody is contacted until the outreach lesson, and even there outreach stays paused.

Common confusions
Shortlist vs longlist
A longlist is everyone who passed a first filter. The shortlist is the few you will spend real time on.
Shortlist vs offer
Being shortlisted means you get the next conversation, not the job. Most shortlists still end with one hire, so keep the others warm.
Shortlist vs resume screening
Resume screening is the act of checking each resume against the requirements. The shortlist is what you are left with once screening is done.
Tips
- Write the criteria down before you look at anyone, so the list is not built around the first strong profile.
- Ask of every gap: could we teach this in the first month?
- Record a reason for each decline; it helps you, the tool and anyone who asks later.
- Have a second person read the shortlist before anyone is contacted.

Frequently asked questions
- How many candidates should be on a shortlist?
- Three to five is common for one role. Fewer leaves no backup if someone drops out; many more usually means the criteria were not decided first.
- Should AI build my shortlist?
- AI can rank and explain matches quickly, but a person should make the shortlist call. Read the evidence on each match, and turn anything the tool inferred into a question for the call.
- Do candidates know they were shortlisted?
- Not unless you tell them. In most recruiting tools, shortlisting and declining are internal labels; contact happens only when you send outreach or an interview invite.
