AI Prompts for Procurement Managers: 10 Copy-Ready Templates

10 promptsFinance and accountingWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

Procurement work is document-heavy: requests for quotes, bid comparisons, contract terms, vendor onboarding packets and a steady stream of supplier email. Every one needs care with numbers and terms. AI assistants can draft and organize these quickly, and they are useful second readers for the fine print.

The prompts here show their math, quote contract clauses with references and never pick a vendor for you. They also help you slow down where it matters: verifying bank-change requests and other payment instructions through contacts you already have, never through the email that asked.

For practice, Stop a Fake Vendor Bank-Change Request Before You Pay and Get a Vendor Contract's Key Terms with KDAN AI Chatbot.

How do you use these prompts?

Copy a prompt into ChatGPT, Claude, Gemini or Copilot and replace every [BLANK] with your own details. Where a prompt says PASTE, paste your notes, email or document there. Each prompt follows the four parts from Prompt Writing 101: a Role, the Context, the Task and the Format you want back. Then check every name, date, number and promise in the answer before you use it.

Sourcing

1. Write a request for quote

You are a procurement manager at [COMPANY] sourcing [PRODUCT OR SERVICE]. Requirements: [SPECS, QUANTITIES, DELIVERY LOCATION AND DATES, SERVICE LEVELS]. Evaluation criteria: [CRITERIA]. Deadline: [DATE]. Contact: [CONTACT].

Write an RFQ that states the requirements precisely, asks every vendor to quote in the same structure (unit price, fees, lead time, payment terms, warranty) and explains how quotes will be evaluated.

Format: numbered sections with a response table vendors can fill in.

2. Compare bids on total cost

Act as a procurement analyst. Here are the bids for [PURCHASE]:

[PASTE BIDS]

Calculate the total cost of ownership over [PERIOD] for each, including fees, shipping, maintenance and any volume discounts, and show the math. Then list non-price differences (lead time, warranty, terms) and anything missing from a bid. Do not recommend a vendor.

Format: a cost table, a differences table and a "Missing from bids" list.

3. Build a vendor evaluation scorecard

You are a procurement manager evaluating vendors for [CATEGORY]. Our priorities and their weights: [CRITERIA AND WEIGHTS ADDING TO 100]. Vendor information:

[PASTE VENDOR DETAILS]

Score each vendor 1 to 5 on each criterion with a one-line justification from the information given, calculate the weighted totals (show the math) and flag any score based on missing information.

Format: a scorecard table, then the flagged scores.

Contracts and negotiation

4. Summarize a supplier contract's key terms

You are reviewing a supplier agreement with [VENDOR]. Here is the contract:

[PASTE CONTRACT]

Extract with clause numbers: term and renewal (including auto-renewal and notice periods), pricing and price-change rules, payment terms, delivery and service levels, penalties or credits, liability limits, termination rights and data or confidentiality terms. Quote exact wording for dates and notice periods. Write "Not found" for missing terms. This is for legal review, not a legal opinion.

Format: a table with Term, Clause, Summary, Exact wording.

5. Prepare for a supplier negotiation

Act as a procurement negotiator. We are negotiating [CONTRACT OR RENEWAL] with [VENDOR]. Current terms: [TERMS]. Our goals: [GOALS]. Our alternatives if this fails: [ALTERNATIVES]. What we know about their position: [THEIR SITUATION].

Prepare a negotiation plan: our target and walk-away for each term, what we can trade, likely counterarguments with responses and an opening message.

Format: a terms table (Term, Target, Walk-away, Trade), then responses and the opening.

6. Ask for better payment terms

You are a purchasing manager at [COMPANY]. We have bought from [VENDOR] for [TIME] at about [VOLUME]. Current terms: [CURRENT TERMS]. We would like: [REQUESTED TERMS]. What we can offer in return: [OFFER, SUCH AS A LONGER COMMITMENT OR FASTER APPROVALS].

Write a professional email asking for the new terms, grounded in the relationship and what we offer, and suggesting a short call.

Format: under 160 words.

Vendor management

7. Write a vendor onboarding checklist

Act as a procurement manager. New vendors at [COMPANY] must provide: [W-9 OR TAX FORM, INSURANCE CERTIFICATE, BANKING DETAILS, SECURITY QUESTIONNAIRE, OTHER]. Internal steps: [APPROVALS, SYSTEM SETUP].

Write a vendor onboarding checklist split into what the vendor sends and what we do, with who verifies each item. Include a step to confirm banking details by phone using a number from an independent source.

Format: a checklist table with Item, From, Verified by.

8. Check a payment or bank-change request for fraud signs

You are a cautious accounts payable and procurement reviewer. We received this request to change payment details or make an urgent payment:

[PASTE EMAIL WITH HEADERS OR ADDRESSES]

List every warning sign, then write the verification steps we must complete using contact details already on file, not anything in this email. Do not tell me the request is legitimate.

Format: Warning signs, then numbered Verification steps.

9. Follow up on a late delivery

Act as a purchasing manager. PO [NUMBER] from [VENDOR] for [ITEMS] was due [DATE] and has not arrived. Impact: [IMPACT]. Contract terms on late delivery: [TERMS OR "NONE"].

Write a firm, professional email asking for a confirmed delivery date and tracking by [DEADLINE], and referencing the contract terms only if I listed them.

Format: under 130 words.

10. Write a purchase request justification

You are requesting approval to buy [ITEM OR SERVICE] for [AMOUNT]. The need: [PROBLEM IT SOLVES]. Options considered: [OPTIONS WITH COSTS]. Why this option: [REASONS]. Budget line: [BUDGET].

Write a short justification for [APPROVER] with the need, options compared, recommendation, cost and timing. Only use benefits I listed.

Format: headed sections, under 250 words.
