The example is made up. Calloway & Brandt LLP is a made-up law firm, and its matters, clients and people are made up too. The agent turns a day of rough notes into one row per task in a Google Sheet: date, matter, hours, description and check.
What are the most common time entry agent mistakes?
| # | Mistake | Fix |
|---|---|---|
| 1 | Letting the agent estimate or round hours | Keep "Never invent, estimate or round hours" |
| 2 | Billing a task with no clear matter | Let it write Unclear and confirm |
| 3 | Descriptions that add facts | Keep "Never add facts, results or legal conclusions" |
| 4 | Leaving out the firm's billing rules | Add your increment and description rules to the prompt |
| 5 | Pasting client identifiers | Check firm policy; no account or SSN numbers |
| 6 | Column headers that don't match the prompt | Date, Matter, Hours, Description, Check |
| 7 | Leaving the Sheets node on reading rows | Pick Append Row under Operation |
| 8 | Skipping memory | Add Simple Memory so "save those" works |
| 9 | Sending rows to billing unread | The lawyer reads every entry first |
Which mistakes put the wrong time on a bill?
1. Letting the agent estimate or round hours. The system prompt says never to invent, estimate or round hours, and to write "Hours not given" when the notes have none. In the lesson, the Pemberton Estate note says "reviewed the draft trust amendment, forgot to track the time." The entry says Hours not given, with the check "Add the time before this entry goes to billing." Keep that rule when you adapt the prompt. A guessed number is a hallucination with a client's name on it.
2. Billing a task with no clear matter. The notes say "0.3 emailing opposing counsel to move the Kessler deposition" but not which case. The prompt says that if the matter is unclear or a task could belong to more than one matter, write Unclear in Matter and say why in Check. Confirm it before billing, so time is never billed to the wrong client by accident.
3. Descriptions that add facts. The prompt asks for one sentence starting with a past-tense verb, like "Drafted..." or "Call with client re: ...", and says never to add facts, results or legal conclusions that are not in the notes. "Drafted responses to defendant's second set of interrogatories" is fine. A sentence that adds what the responses argued is not.
4. Leaving out the firm's billing rules. The agent only knows the rules in its prompt. The lesson's finish screen says to follow your firm's billing rules, such as the time increment you bill in and how descriptions must read. Add them to the prompt in plain sentences.

5. Pasting client identifiers. The prompt says never to include Social Security numbers, account numbers or other personal identifiers, and the finish screen says to check your firm's policy before you put client information into any outside tool. Do that check before you build it for real. The fewer details you paste, the fewer can leak; see PII.
Why doesn't the time log fill in?
6. Column headers that don't match. Type five headers in row 1: Date in A1, Matter in B1, Hours in C1, Description in D1 and Check in E1. They match exactly what the system prompt returns. Then in the Sheets tool, under Values to Send, click the ✦ button next to each column so the model fills it in.
7. Leaving the node on reading rows. n8n adds the Sheets tool as Get row(s) in sheet in Google Sheets, which reads rows by default. Open Operation and pick Append Row. In Document, pick Daily Time Log, not Matter Deadlines Calendar next to it, then Sheet1 in Sheet. The n8n Google Sheets errors post covers sign-in and permission problems.
8. Skipping memory. Without memory, every message starts from nothing, and "save those" points at nothing. Add Simple Memory under Memory; the defaults keep the last 5 messages. Also check the key: a new OpenAI key with a zero balance just returns errors. Click Add to credit balance under Billing first, or pick Gateway credits in your own n8n to use its free credits. Copy the key when you make it; OpenAI shows it once.
What has to happen before billing?
9. Sending rows to billing unread. The audience in the prompt is the lawyer who wrote the notes, who reads every entry before it goes to billing. The agent drafts; you approve. In the lesson, two of four rows need you: the Pemberton time and the Kessler matter. That review is human in the loop.
Key takeaways
- Never let the agent invent, estimate or round hours. Missing time says Hours not given.
- A task with no clear matter is Unclear until you confirm it.
- Descriptions use only facts from your notes.
- Put your firm's billing rules in the prompt, and check its policy on outside tools.
- Match the headers, use Append Row, add Simple Memory, and read every row.

Frequently asked questions
- Can the agent recover time I forgot to note?
No. It only works from what you paste. If a task has no time, the entry says Hours not given and asks you to add it.
- Why did my notes turn into two entries for one matter?
The agent writes one entry per task. The drafting work and the client call on Harlow Foods became two rows with their own hours.
- Should I log time every day?
The lesson's point is that time not written down the same day is hard to bill, and short calls and quick emails go missing first. Pasting the day's notes each evening fits that.
- Where can I learn more about the nodes?
The n8n docs cover the AI Agent, memory and Google Sheets nodes.
