The example is made up. Harborview Insurance Group is a made-up independent agency, and its clients and certificate holders are made up too. The agent turns each request into a row in a Google Sheet: date, client, certificate holder, request and check.
What are the most common certificate request agent mistakes?
| # | Mistake | Fix |
|---|---|---|
| 1 | Treating an endorsement request as routine | Keep the Account manager review rule |
| 2 | Removing "never say a policy covers something" | Keep it, word for word |
| 3 | Rewording the request | Keep it in the client's words, with deadlines |
| 4 | Guessing a missing certificate holder | Let it say Not given and Unclear |
| 5 | Pasting policy or license numbers | Paste only client, holder and request |
| 6 | Column headers that don't match the prompt | Date, Client, Certificate holder, Request, Check |
| 7 | Leaving the Sheets node on reading rows | Pick Append Row under Operation |
| 8 | Skipping memory | Add Simple Memory so "save those" works |
| 9 | Preparing certificates from unread rows | The CSR reads every entry first |
Which mistakes put the agency at risk?
1. Treating an endorsement request as routine. The system prompt says to use Account manager review whenever a request asks to add anyone as additional insured, a waiver of subrogation, primary and non-contributory wording, special limits, or anything else that may need a change to the policy. In the lesson, Northpoint Electric's request from Keller Builders, additional insured with a waiver of subrogation by Friday, lands there. The check says these may need endorsements on the policy, so confirm before anything is promised. See policy endorsement for what that means.
2. Removing the coverage rule. The prompt's last paragraph says never to say that a policy covers something, and never to promise that a certificate will show wording or coverage. A certificate shows what is on the policy; the account manager decides what the policy can support. When you adapt the prompt for your agency, change the agency name and examples, not this rule.
3. Rewording the request. The prompt asks for the request in the client's words, including any deadline. Keep it that way. "Additional insured with a waiver of subrogation, needed by Friday" tells the account manager exactly what was asked and when. A tidied-up summary can drop the deadline or soften the ask.
What should the agent do when a request is vague?
4. Guessing a missing certificate holder. Summit Café's email just says "the landlord needs our insurance thing again." The agent writes Not given in Certificate holder and marks the check Unclear: ask for the landlord's name and address and what the lease asks the certificate to show. Don't edit the prompt to make it fill in a name from an old request. The prompt says to ask the client, not to guess.
5. Pasting policy or license numbers. The prompt says never to include policy numbers, driver's license numbers or other personal identifiers, and the lesson's finish screen says to keep policy numbers and personal details out of what you paste. The log only needs the client, the certificate holder and the request. Fewer details in means fewer to leak; that is data minimization.

6. Column headers that don't match. Type five headers in row 1: Date in A1, Client in B1, Certificate holder in C1, Request in D1 and Check in E1, matching exactly what the system prompt returns. Then in the Sheets tool, under Values to Send, click the ✦ button next to each column.
7. Leaving the node on reading rows. n8n adds the Sheets tool as Get row(s) in sheet in Google Sheets, and by default it reads rows. Open Operation and pick Append Row. Then pick Certificate Request Log in Document, not the Renewal Calendar Q4 sheet next to it, and Sheet1 in Sheet. For sign-in and permission problems, see n8n Google Sheets errors.
8. Skipping memory. Without memory, every message starts from nothing, so "save those" points at nothing. Add Simple Memory under Memory; the defaults keep the last 5 messages. A related slip: an OpenAI key with no credit just returns errors. Click Add to credit balance under Billing first, or pick Gateway credits in your own n8n to use its free credits.
What has to happen before a certificate is prepared?
9. Preparing certificates from unread rows. The audience in the prompt is the customer service rep, who reads every entry before any certificate is prepared. The agent sorts the inbox; it doesn't issue anything. Follow your agency's procedures and your carriers' rules for issuing certificates. This review step is human in the loop.
Key takeaways
- Additional insured, waivers, primary and non-contributory wording and special limits go to the account manager.
- The agent never says a policy covers something. Keep that rule.
- Keep requests in the client's words, deadlines included.
- A missing holder is Unclear, with a question back, never a guess.
- Match the headers, use Append Row and add Simple Memory.

Frequently asked questions
- Can the agent issue certificates?
No. In the lesson it only logs and sorts requests in a Google Sheet. People prepare the certificates.
- What does a Standard request look like?
Delgado Landscaping's request: a certificate for Ridgeway Property Management for a new mowing contract, nothing special.
- Can I add my own review triggers?
Yes. Add them to the list in the system prompt's "Account manager review" line. Keep the rule that it never promises coverage.
- Where can I learn more about n8n nodes?
The n8n docs cover the AI Agent, memory and Google Sheets nodes in detail.
