n8n Certificate of Insurance Agent FAQ: Setup, Rules

Quick answer

An n8n certificate request agent takes the day's certificate of insurance requests and turns each one into a row in a Google Sheet: the date, the client, the certificate holder, the request in the client's words and a check. The check marks it a Standard request, sends it to Account manager review, or says it is Unclear and what to ask. It never says a policy covers something. The free n8n certificate request lesson builds it step by step in about 12 minutes, on practice copies of n8n, OpenAI and Google Sheets.

The example is made up. Harborview Insurance Group is a made-up independent agency, and its clients and their certificate holders are made up too. The practice needs no n8n, OpenAI or Google account, nothing is billed and no workflow is published. This is our own lesson, not an official n8n course, and it is not insurance advice.

What does the certificate request agent do?

You paste in the requests as they arrive. In the lesson, three come in on Oct 20:

  1. Delgado Landscaping needs a certificate for Ridgeway Property Management for a new mowing contract, nothing special. The check: Standard request.
  2. Northpoint Electric says the general contractor, Keller Builders, wants to be listed as additional insured with a waiver of subrogation, by Friday. The check: Account manager review, because additional insured and a waiver may need endorsements on the policy.
  3. Summit Café writes "the landlord needs our insurance thing again." The certificate holder is Not given, and the check is Unclear: ask for the landlord's name and address and what the lease asks the certificate to show.

Then you type "Yes, save those to the sheet" and it writes all three to the Certificate Request Log spreadsheet. A certificate of insurance shows what is on the policy, which is why the agent logs and sorts but never promises.

How is the agent built in n8n?

The lesson follows the same path you would take in your own n8n:

  1. Sign up and get a key. Start at n8n.io with Get started free. On platform.openai.com, add credit, then create a secret key and copy it.
  2. Add a chat trigger. Click Create workflow, then Add first step… and pick On chat message.
  3. Add the AI Agent. Click the + on the trigger, open AI and pick AI Agent.
  4. Give it its orders. Click + Add Option, choose System Message and paste the system prompt.
  5. Give it a model and memory. Add OpenAI Chat Model with your key, pick gpt-5-mini, then add Simple Memory.
  6. Give it the Sheets tool. Add Google Sheets Tool, sign in with Google, choose Append Row, pick the sheet and map each column.
  7. Test it. Click Open chat, paste the requests, read the entries, then ask it to save them.

The n8n AI agent tools guide explains how a tool like Google Sheets lets an agent act instead of just talk.

Which requests go to the account manager?

The system prompt lists them. It uses Account manager review whenever a request asks to add anyone as additional insured, a waiver of subrogation, primary and non-contributory wording, special limits, or anything else that may need a change to the policy. Those can need a policy endorsement, and the prompt says the account manager decides what the policy can support. For the term itself, see subrogation.

The audience in the prompt is the customer service rep (CSR), who reads every entry before any certificate is prepared. The agent sorts; people prepare certificates and make the calls.

Key takeaways

  • One request, one row: date, client, certificate holder, request and check.
  • Requests are kept in the client's words, deadlines included, so nothing is reworded into a promise.
  • Additional insured, waivers, primary and non-contributory wording and special limits go to the account manager.
  • A request with no names is marked Unclear, with what to ask the client.
  • Keep policy numbers and personal identifiers out of what you paste.

Frequently asked questions

What columns does the Certificate Request Log need?

Five, in row 1: Date in A1, Client in B1, Certificate holder in C1, Request in D1 and Check in E1. They match exactly what the system prompt tells the agent to return. In the Sheets tool, click the ✦ button next to each one under Values to Send so the model fills them in.

Will the agent tell a client their policy covers something?

No. The prompt says never to say that a policy covers something, and never to promise that a certificate will show wording or coverage. That is the rule that protects the agency.

What happens when the client doesn't name the certificate holder?

The agent writes Not given in Certificate holder and marks the check Unclear, with what to ask. For Summit Café, it asks for the landlord's name and address and what the lease requires. It doesn't guess.

Why keep the request in the client's words?

So the person preparing the certificate sees exactly what was asked, including any deadline, such as "by Friday". A reworded request can quietly turn into a promise.

What should I leave out of what I paste?

The prompt says never to include policy numbers, driver's license numbers or other personal identifiers. The log only needs the client, the certificate holder and the request.

Why does the agent need memory?

Without memory, every message starts from nothing, and "save those" would mean nothing to it. Simple Memory keeps the recent conversation in n8n; the defaults keep the last 5 messages.

What does it cost to run?

You pay OpenAI for each request you send, not a flat monthly fee. New n8n accounts include free credits too: pick Gateway credits on the model step instead of a key. Check n8n's and OpenAI's pricing pages for current plans.

What do I need to build it for real?

An n8n account (the cloud trial or self-hosted), an OpenAI API key with a little credit, and a Google account for the sheet. Follow your agency's procedures and your carriers' rules for issuing certificates. The n8n docs cover each node.

Are there other insurance lessons?

Yes. In the same course, build a coverage FAQ voice agent or reply to a claim-status email. For more ideas, read ChatGPT for insurance agencies.

What goes wrong most often?

Rewording an endorsement request into a yes, mismatched column headers, and the Sheets node left on reading rows. See n8n certificate request agent mistakes.
