n8n vs Zapier: Which Is Better for Small Business (2026)

Quick answer

Pick Zapier if you want the fastest route to a working automation, the biggest app directory and nothing to host. Pick n8n if your workflows have many steps, include AI agents, or run often enough that paying per whole workflow run costs less than paying per step, or if you want the option to host it yourself. Both connect Gmail, Google Sheets, Slack and hundreds of other apps without code.

Is n8n cheaper than Zapier?

It depends on how many steps your workflows have and how often they run, because the two count usage differently. Zapier counts tasks, meaning each action it completes successfully. n8n counts executions, meaning one run of the whole workflow, whatever the number of steps.

Here is a made-up example to show the math. A workflow starts from a new form entry, then does four things: an AI step, a Google Sheets row, an email and a Slack message. It runs 500 times a month. On Zapier that is about 2,000 tasks (four actions, 500 times, with the trigger not counted), which lands on the 2,000-task Professional tier, listed at $49 a month billed annually. On n8n it is 500 executions, well inside Starter's 2,500, at €20 a month billed annually. Turn it around: a two-step Zap that runs 50 times a month uses about 50 tasks, which fits inside Zapier's free plan.

AI steps can change the math. Zapier says AI by Zapier is priced by model tier and tool call, and in the n8n lessons the AI model is billed separately by its provider. Prices are in US dollars for Zapier and euros for n8n, and both vendors change plans, so price your own workflow on the Zapier pricing page and the n8n pricing page before you commit. For the third big option, see Zapier vs Make vs n8n.

Which is easier for a beginner, n8n or Zapier?

Zapier is usually the gentler start. Its free plan is built around simple two-step Zaps, and its editor walks you through "when this happens, do that." n8n uses a canvas where every step is a box joined by lines. That takes a little longer to learn, but long workflows are easier to follow once you do.

n8n has a reputation as the technical option because it can be self-hosted, yet n8n Cloud runs in your browser like Zapier. Starting from a ready-made workflow also helps: the free Find and Use n8n Templates lesson shows how to skip the blank canvas.

Which is better for AI agents?

Both offer AI features now, so the question is where you want to build. Zapier lists AI by Zapier on its Professional plan, and its pricing page also lists Agents, Chatbots and MCP among Free plan features with basic access. n8n's AI Agent node lets you add a chat model, memory and tools in one place, and its per-execution counting means extra steps inside the agent do not add to your execution count.

Stepthrough teaches n8n for agents because of that single-canvas design and the pricing model, not because Zapier cannot do AI. Either way, remember the second bill: the AI model. The AI Email Responder lesson and the AI Receipt Extractor lesson use an OpenAI API key, which is billed separately from any ChatGPT plan.

Can I host n8n myself, and should I?

You can. n8n's Community Edition is free to self-host, and its docs say that with self-hosting the infrastructure is your responsibility and technical knowledge is required. n8n Cloud is the hosted option, handled by n8n. Zapier runs as a hosted service.

Self-hosting suits teams that have someone to keep a server updated and secured, or that must keep workflow data on their own infrastructure. For most small offices, a hosted plan from either vendor is less work than running a server.

Which is safer for client or customer data?

Both publish security details, and neither removes your own responsibility to decide what data goes into an automation. Zapier lists SOC 2 Type II and SOC 3, encryption in transit and at rest, and says it does not train on the data that runs through your workflows on any plan. n8n says its Cloud is hosted in the EU, aligns its security program to SOC 2, and tests with outside penetration testers at least yearly. With self-hosting, you handle encryption and access yourself.

Before you send client data through any automation, check your company's rules and send only the fields the workflow needs. The glossary entry on data minimization explains the habit, and the comparison of the big chat assistants, ChatGPT vs Claude vs Gemini vs Copilot, covers the AI side.

Who is each one for?

Pick Zapier if

You want something running this week, your automations are short, you want the widest app directory, and you would rather pay more per step than learn a canvas. Zapier's free plan covers a first two-step Zap at no cost. Practice in the free Your First Zap lesson.

Pick n8n if

Your workflows have many steps, include AI agents, or run often, or you want the option to self-host later. It is the tool behind most free Stepthrough automation lessons, including versions for sales, marketing, operations and finance.

Frequently asked questions

Is n8n free?

The self-hosted Community Edition is free to download and run, but you provide and maintain the server. n8n Cloud is a paid plan, with a trial that does not require a credit card.

Is Zapier free?

Yes, to start. The Free plan includes 100 tasks a month and two-step Zaps. Multi-step Zaps, Filters, Paths, webhooks and AI by Zapier are on paid plans.

Do I need to code to use n8n?

No. You build n8n workflows by adding and connecting nodes on a canvas, and the free Stepthrough n8n lessons are clicks and plain English. Code is optional for advanced steps.

Can I move from Zapier to n8n later?

Yes, but you rebuild the automations, because the two tools use different formats. The skills carry over: triggers, actions, mapping fields from one step to the next, and testing with sample data work the same way.

Does n8n or Zapier include the AI model?

Not as a flat unlimited allowance. Zapier prices AI by Zapier by model tier and tool call, and in the Stepthrough n8n lessons the model is the OpenAI API, billed separately from ChatGPT plans.

Where do these prices and features come from?

Every price and feature on this page was checked against the vendor's own page, as of October 2026. No numbers here are estimates or third-party figures. The example businesses in the Stepthrough lessons are made up.
