What is an AI assistant?

Quick answer

An AI assistant is a program you talk to in plain words to get work done, such as drafting an email, summarizing a meeting or building a table. ChatGPT, Claude, Gemini and Microsoft Copilot are all AI assistants. You type a request, it answers, and you can ask for changes.

Why it matters for a small business

Most offices end up with an argument about which assistant is best. In practice, the four big ones handle everyday office tasks in much the same way, and the differences are mostly style: subject lines, length and extra details you did not ask for. What matters more is which one your company pays for and allows, because that decides where your data goes and who can see it.

That is why a fair test on your own task beats opinions. Give every assistant the same request, check the facts in each answer, then use the one your company already supports. Read about Microsoft Copilot, Claude and Gemini, or see the full comparison on the ChatGPT vs Claude vs Gemini vs Copilot page of this site.

In a real lesson: Choose the AI Assistant Your Team Should Use, Tested on ChatGPT, Claude, Gemini and Copilot

In the free Choose the AI Assistant Your Team Should Use lesson, Carla, the office manager at Ridgeline Insurance Agency (a made-up firm), gives one task to all four: a reminder email to a client and a table of this week's tasks. She then scores each answer on the date, the VIN request, the phone number and the five rows.

All four did the job. Claude added a tip about where to find the VIN. Gemini put a job title and phone number under the signature. Copilot wrote the shortest email. Because Ridgeline already pays for Microsoft 365, Carla picks Copilot Chat for work.

Common confusions

AI assistant vs AI agent

An assistant waits for your message and answers it. An AI agent can also take steps on its own, such as calling a tool or writing to a sheet. Many products offer both.

AI assistant vs the AI model behind it

The model is the engine. The assistant is the app you type into, with its menus, settings and memory. Two assistants can use different models, and one assistant can offer several.

Tips

  • Test with a real, harmless task that you can check against your own notes.
  • Use the assistant your company pays for and allows. Do not paste client data into a personal account.

Frequently asked questions

Which AI assistant is best for work?
There is no single winner for everyday tasks. Pick the one your company already pays for and allows, then learn it well. In the lesson, a Microsoft 365 office picks Copilot Chat and a Google Workspace office would pick Gemini.
Can I paste client data into an AI assistant?
Not into a personal account. Use the approved work account and follow your team's rules for what never goes in.
