What is an outreach sequence?

Quick answer

An outreach sequence is a planned series of messages to one person, such as a first email, a follow-up a few days later and a final note, sent on a schedule and stopped as soon as they reply. Recruiters use sequences to reach candidates; sales teams use them to reach prospects.

Why it matters for a small business

Most people do not answer the first message. They are busy, not uninterested. A sequence makes sure the second and third touch actually happen instead of depending on someone remembering.

Because every step is written in advance, the whole sequence can be checked once, by someone who knows the business, before it reaches anyone. That matters most for the first email, which cannot be unsent.

Sequences also make results comparable. When everyone gets the same steps, you can see which subject line or which step earns the replies.

In a real lesson: Pin: Check the Outreach Emails Before Anything Goes Out for Recruiting & HR

In the Pin outreach sequence lesson Pin drafts four steps for the three-person shortlist: an email on day 1, a reply on day 4, a LinkedIn connection reminder on day 6 and a last reply on day 9, with a shaded line written for each candidate.

The draft describes the firm wrongly (it talks about Tableau and data visualization), so you type one instruction in the Ask Pin box to fix all four steps, rewrite the Step 1 subject and click Save. Outreach stays PAUSED with no email account connected, so nothing is sent.

Common confusions

Outreach sequence vs drip campaign

A drip campaign sends the same marketing emails to a list over time. A sequence is one-to-one outreach that stops the moment the person replies.

Outreach sequence vs follow-up email

A follow-up email is one message. The sequence is the whole planned set, including when each follow-up goes out and when it stops.

Outreach sequence vs cold email

A cold email is the first message to someone who does not know you. It is usually step 1 of a sequence.

Tips

  • Read the first two sentences of every step: that is where wrong details hide.
  • Keep each follow-up shorter than the one before it.
  • Space steps three to five days apart, and end with a clear last message rather than going quiet.
  • Preview the personal line for each person before you start sending.

Frequently asked questions

How many steps should an outreach sequence have?
Three or four is typical: a first message and two or three follow-ups over about two weeks. More than that starts to feel like pressure.
Does a sequence stop when someone replies?
In recruiting and sales tools it normally does, which is what separates it from a newsletter. Check the setting before you start, and test it with your own address.
Can AI write an outreach sequence?
Yes, and quickly, but it describes your company from whatever it can find. Correct the company description and every personal line before the first send.
