What are archived chats in ChatGPT?
Quick answer
Archived chats are ChatGPT conversations you have moved out of the sidebar without deleting them. They are still stored in your account. You find them in Settings, Archived chats, where each one has Unarchive and Delete.

Why it matters for a small business
Archive keeps the sidebar tidy while keeping the record, which suits a month-end checklist or a finished project the firm may need again. It takes one click from the ··· next to a chat, and there is no warning because nothing is lost.
That is also the trap. Archiving a chat with a client's account number in it does not remove the number; it only hides it from you. If the chat holds details you should not be keeping, delete it instead. Data controls also has Archive all chats, which archives everything at once.
For a firm, the useful rule is simple. Archive is a filing decision: this chat is finished, but we may need it again, for a client query, an audit trail or a handover. Delete is a data decision: this chat holds something we should not keep, such as a client's account number pasted to tidy a note. When you are unsure, export your data first from Data controls, Export data, so you keep a record outside ChatGPT, and then delete. Archiving never shrinks what is stored in your account, so it is not an answer when a client asks what you hold.
In a real lesson: Clear Client Data Out of ChatGPT Before It Becomes a Problem: Delete Chats, Clear Memory and Use Temporary Chat
In the Clear Client Data Out of ChatGPT lesson, Morgan, a staff accountant at the made-up Calloway & Reyes CPAs, has two chats to deal with. Tidy Okafor client note holds a client's name, an account ending 4417 and a balance, so it gets deleted. Q3 close checklist has no client details and the partner wants it kept, so it gets archived.
Morgan then opens Settings and finds the checklist under Archived chats, with Unarchive and Delete beside it. Archive what you keep, delete what you should not hold.

Common confusions
Archive vs delete
Archive hides a chat and keeps it. Delete removes it for good, after a warning that it can't be undone.
Archived chats vs Temporary Chat
A Temporary Chat never appears in your history at all. An archived chat was in your history and still is, just out of the sidebar.
Tips
- Before archiving, ask: would I be comfortable if a client saw this chat is still stored? If not, delete it.
- Check Settings, Archived chats now and then, and delete anything you no longer need.
- Export your data before any bulk cleanup, so the firm has a record.
