What is zero data retention?

Quick answer

Zero data retention is an arrangement where an AI provider processes your prompts and returns an answer without keeping a copy of the inputs or outputs afterward, apart from what the law may require. It is usually offered to business or API customers under a specific agreement.

Why it matters for a small business

Most AI tools keep conversations for some period, for history, abuse monitoring or support. For firms handling client records, that stored copy is a risk to manage. Zero data retention reduces the number of places sensitive text lives, which is why legal, financial and health teams ask about it.

It isn't a switch every user can flip, and it doesn't cover everything. It often applies only to certain products or API endpoints, and your own copies, such as files, email drafts and chat exports, are still yours to manage. Treat it as one piece of a data retention policy, alongside ChatGPT data controls and clear rules about what staff may paste in.

In a real lesson: Turn a Client Meeting into Action Items and a Follow-Up Email (Accounting Firms)

Stepthrough's lessons use practice data, so none of them configure retention settings. The Summarize a Client Meeting lesson shows why the question matters. You paste the transcript of a quarterly review at Millbrook Accounting, a made-up firm, into ChatGPT, and later upload a file called "Cedar Lane Q3 review - Transcript.docx."

The finish of the lesson gives the plain-language rule: client meetings are confidential, so follow your firm's policy on AI tools, use a business account that does not train on your data and leave out sensitive numbers.

Zero data retention goes a step further than not training: it also limits how long the provider keeps the text at all. Whether your account has it is a question for whoever manages your AI vendor agreement, and it should be answered before real client transcripts go in.

Common confusions

Zero data retention vs training opt-out

An AI training opt-out stops your data from being used to improve models. Zero data retention means the data isn't stored afterward. You can have the first without the second.

Zero data retention vs temporary chat

A temporary chat hides a conversation from your history and may still be kept by the provider for a limited time. Zero data retention is a provider-side agreement about storage.

Tips

  • Ask your AI vendor in writing which products and plans include zero data retention.
  • Remember that your own files and drafts still need a retention rule.
  • Remove client names and numbers you don't need, whatever the setting.

Frequently asked questions

Does ChatGPT offer zero data retention?
Retention terms differ between consumer, business and API products and change over time. Check the provider's current documentation or ask your account contact; don't assume from a setting name.
Is zero data retention enough for confidential client data?
It helps, but it is one control among several. Your firm's policy, the provider agreement and what staff actually paste in matter just as much. Ask your compliance lead.
