Stop Losing Context: When to Start a New Chat vs Keep Going using ChatGPT

ChatGPTBeginner~9 min practice24 steps

Why this matters

An office manager answers quote requests all day. Open a new chat for every message and you re-type the same prices again and again, until one day you forget one. Keep everything in one long chat and ChatGPT can carry the last customer’s headcount into the next quote.

Either way the cost is real: ten minutes of re-pasting several times a day, or a quote that goes out under your name with the wrong total.

In this module you learn the one rule that fixes both: when to keep going in the same chat, and when to click New chat. You quote one customer, change a number without pasting anything again, then start a clean chat for the next customer and check that nothing leaked across.

What you’ll build

Two catering quotes for Harbor Street Bakery, a small made-up bakery. The first is for Oakwood Library: 80 guests at $5.20 each plus $30 delivery, $446 in total with a $223 deposit. When the library changes to 100 guests, you type that one line in the same chat and get the new quote ($550, deposit $275), then a two-line text to the baker, Sam, with the new headcount.

The second quote is for Pine Ridge Rotary, in a brand new chat with their fact sheet attached as a file. It shows their 40 guests and their order, and nothing about the library.

What you need

  • Nothing to start the practiceGoogle Docs and ChatGPT are practice copies. The library’s fact sheet is already open in the doc, and the Rotary’s file is waiting in a practice file browser.
  • A ChatGPT account, to do it for realA free account at chatgpt.com works. For customer details, use your company’s approved plan.
  • A fact sheet for each customerA Google Doc or Word file with the date, the headcount, what they ordered, the prices and the deposit. The download below has the lesson’s sheet and a blank one to copy.
  • The file, for the new-chat stepSave one customer’s fact sheet as a .docx or PDF on your computer, so you can attach it with the + button.

Concepts

3 ideas you’ll use in the practice.

Context is what the chat can see

Everything in the current chat is context: your facts, your requests and ChatGPT’s own earlier answers. Inside one chat it builds on all of it. A new chat starts from zero.

Do not count on ChatGPT remembering facts across chats, even with memory on. Prices and dates belong in the chat you are using.

Keep going when it builds

Same customer, same job, building on the last answer: a changed number, a shorter version, the same quote turned into a text. Stay in the chat and say only what changed.

ChatGPT still has the facts from a minute ago, so you never paste them twice and it redoes the maths for you.

Start fresh when it changes

A different customer, a different task, or a chat that went wrong: click New chat and give it only the facts for that job. Attaching the customer’s fact sheet is faster than copying it.

If a long chat starts mixing things up, ask for a ten-line summary, check it, and paste it into a new chat.

Practice

Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.

Quick check

3 questions to check you’ve got it.

1. The library calls: it is 100 guests now. What do you do?

  • Start a new chat and paste every fact again
  • Type the change in the same chat
  • Ask a different AI
Show the answer

Type the change in the same chat. The chat still has every fact. Say only what changed and it redoes the quote.

2. A different customer needs a quote. Where do you ask?

  • In the library’s chat, so it has the prices
  • In a new chat, with only that customer’s facts
  • Anywhere, it makes no difference
Show the answer

In a new chat, with only that customer’s facts. A new chat keeps the library’s headcount, menu and prices out of the next quote.

3. Why not trust ChatGPT to remember a customer’s prices from last week’s chat?

  • A new chat starts blank, and memory is loose
  • It always remembers everything
  • Prices are not allowed in ChatGPT
Show the answer

A new chat starts blank, and memory is loose. Put the facts in the chat you are using, for example by attaching the fact sheet.
