Who it’s for: Busy office managers and owners who want simple AI automation running this week. No coding.
Why this course
Zapier is the gentlest way to start automating: each Zap is a trigger and a list of actions, and it connects to more apps than any other tool. Adding AI is one more step, but it is the step that needs the most care, because an AI reply goes to a real client.
This course builds the habit in order. You learn triggers, actions and data mapping on a plain diagram, build a Zap that sends every new client inquiry to the right place, and see a webhook with your own eyes. Then you learn when an automation needs AI, an agent or neither, and finish with a four-step Zap where ChatGPT drafts every reply, Signatoro adds the real signature and Gmail saves a draft for a person to send. What you’ll build
- Module 2: You read the recipe behind a new client inquiry automation for Harbor Lane Bookkeeping (made up): one trigger and two actions. Then you map five fields from the form data into an "Add a row" action, fix a box that has words typed into it, run a test and check the new row.
- Module 4: You copy a free listening address from Webhook.site, paste it into the contact form settings of a small business website (Riverbend Plumbing, made up), save it and send a test. The test arrives in the tester right away.
- Module 5: Oak Hill Pet Grooming (made up) has six open invoices. Four are more than 14 days late, and one of those customers, Ben, already paid $60 of his $120. That one detail separates the three kinds of help.
- Module 6: You sort six jobs for Harbor Lane Bookkeeping (made up) into plain rules, AI steps and human decisions. Then you walk through one AI automation from top to bottom: a trigger, one small AI step that picks a label and drafts a reply, a rule that acts on the label, a person who approves, and an action that saves a draft.
- Module 1 · Stepthrough · Beginner · ~2 min
Start Here: How Stepthrough Works
Welcome to Stepthrough: you learn AI by doing it, on practice copies of real app screens, free and with no risk to your real accounts. Your first practice takes under two minutes.
- Module 2 · Automation basics · Beginner · ~6 min
Automation Basics: Triggers, Actions and Data Mapping
A new client fills in the contact form on your website. Someone copies the name, email and message into a spreadsheet, then emails the person who handles new clients. It takes five minutes, and on a busy day it does not happen at all.
- Module 3 · Zapier · Beginner · ~10 min
Never Miss a New Client Inquiry using Zapier
Prospects who wait days for a reply hire someone else. Build a Zap that copies every new client inquiry from Google Forms into your tracking sheet the moment it arrives, so nothing sits unseen.
- Module 4 · Webhook.site · Intermediate · ~6 min
What a Webhook Is, in Plain Words
A prospect fills in the contact form on your website. The message lands in an inbox someone checks twice a day, and gets copied by hand into a spreadsheet, if anyone remembers. Every automation that fixes this starts the same way: "when someone fills in the form".
- Module 5 · ChatGPT · Beginner · ~7 min
AI Agent vs Chatbot vs Automation
Every vendor now says "AI agent". Your manager asks whether you should buy one, a colleague says you already have an automation, and someone else just uses ChatGPT. Without knowing the difference, you either pay for the wrong thing or keep doing by hand a job a tool could do.
- Module 6 · Automation basics · Beginner · ~6 min
When to Add AI to an Automation (n8n, Make or Zapier)
Once people see AI write an email, they want it in every step. That is how a cheap, reliable automation turns into one that costs money on every run and sometimes makes things up. The opposite mistake is just as common: a team keeps sorting client emails by hand because a keyword rule keeps missing the ones that are worded oddly.
- Module 7 · Zapier · Intermediate · ~12 min
Zapier: ChatGPT Drafts Every Reply, Signatoro Signs It
Stop leaving patient emails waiting. Build a Zap where Gmail starts it, ChatGPT writes a personal reply, Signatoro's Get Signature step adds the sender's real signature, and Gmail saves a draft reply for a person to check.
Prerequisites
- For the practice: a web browser. Each module runs in a copy of the real tool’s screens, so you need no account and no sign-up to start module 1.
