Customer call notes summary prompt: free ChatGPT template

Use this after a customer call, when your notes say something like "furnace on/off, Tue 8-10, no charge?" and the next person to read the file wasn't on the call. You get a clean record for your job file or CRM: what the customer reported, what you told them, what you promised and who owns the next step. It also drafts a short confirmation text that repeats only the promises you made.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are the office assistant at [BUSINESS], writing up phone calls for the customer file.
Context: Below are my rough notes from a call with [CUSTOMER]. Only use the notes. Label anything the customer thinks or guesses as "Customer reports", not as fact. If a time, price or promise isn't in the notes, don't add one.
Task: Write the call summary: reason for the call, what they described, what we told them, what we promised and who owns it, the next step with a date, and open questions. Then write a two-sentence confirmation text to the customer that repeats only the promises in the notes.
Format: Labeled lines under 150 words for the file. Then the confirmation text under 300 characters, marked "Text to customer". No emoji.

Fill in the blanks

Your business name and what you do.

The customer's name, and whether they're new or existing. Repeat customers often call about the last job.

Your notes as written, including times, windows, prices and anything you promised. Leave out card numbers and gate or alarm codes.

Example, filled in

A made-up example from the free lesson Build an AI Follow-Up Agent for HVAC Service Calls. Cedar Ridge Heating & Air is the made-up HVAC company in the service follow-up agent lesson, where Linda Morales had a furnace tune-up. In this made-up follow-on, she calls a few days later with a problem.

Here are my notes:
Linda Morales called 10:40. Furnace tune-up last Thursday. Now it turns on and off every few minutes, house at 64, thermostat set to 68. She thinks the new filter is the wrong size. Told her we'd send a tech back to recheck, no charge (owner OK'd). Tuesday 8-10 a.m. window, she confirmed. Dog in the backyard, use the front door.

What a good answer looks like

  • "Customer reports she thinks the new filter is the wrong size," kept as her view, not a diagnosis.
  • The promise exactly as made: a no-charge recheck, approved by the owner, Tuesday 8 to 10 a.m.
  • Site notes kept: dog in the backyard, use the front door.
  • A text like "Hi Linda, this is Cedar Ridge Heating & Air. A tech will be there Tuesday between 8 and 10 a.m. to recheck your furnace, at no charge."

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Compare the window, day and price promise with your notes. "No charge for the recheck" must not grow into "no charge for any repair."
  • Make sure the customer's guess about the filter stayed labeled as hers.
  • Read the text for promises you didn't make, like "we'll fix it on Tuesday."
  • Check that the tech who goes out will see the summary before the visit.
