AI receptionist vs answering service vs voicemail for a small office

Quick answer

If you only need a record that someone called, voicemail is enough. If callers need a live person's judgment, a human answering service is the safer choice. If your problem is callers hanging up at 7 PM because nobody answered, and you want a clean message with an urgent flag waiting in the morning, an AI receptionist is the newest option and the one you can build yourself. None of the three replaces your team. They cover the hours when the office is closed.

Which is best for a small accounting or law office?

It depends on what a missed call costs you. Take a firm that misses two new-client calls a week after hours. If each new client is worth a few hundred dollars a year, that is tens of thousands of dollars a year going to whoever answered. Work out your own numbers: after-hours calls missed per week, times the share that were new clients, times what a client is worth to you.

If the number is small, keep the voicemail and make the greeting better. If the number is large and callers often have a deadline, either an answering service or an AI receptionist is worth testing. Many offices start with the cheaper option to learn what callers actually ask.

What does an AI receptionist do that voicemail does not?

It answers. In the Stepthrough lesson, a made-up firm called Hartwell Accounting builds a receptionist named Casey. Casey tells the caller the office is closed and that it is an AI, answers questions about hours and services from a short document, and takes a message: name, a phone number read back, a one-line reason and whether it is urgent. The team opens the Conversations page the next morning and reads a short summary of each call instead of playing voicemails.

It should never give advice. In the lesson test call, a caller who is worried about an IRS letter gets no tax advice. Casey takes the message and marks it urgent for a callback first thing the next business morning.

When is a human answering service still the better choice?

When the call needs judgment, empathy or an exception to the script. A person can sense that a caller is in distress, or that a question does not fit the rules. If your callers are often upset, or the stakes are high, a human service or an on-call person may be the right layer, even if you also use AI for routine questions.

You can combine them. An AI receptionist can take simple calls and hand the rest to a person. Decide in advance which calls must always go to a human, and test that handoff. That list is the same one a good call routing plan starts with.

Is it safe to let an AI answer calls from clients?

It can be, with limits. Tell callers they are talking to an AI, keep the knowledge document short and approved, forbid advice and promises in the instructions, and listen to test calls before you go live. Check how the platform stores call recordings and transcripts, and what your clients and your profession's rules require. Read the vendor's current documentation, such as ElevenLabs' agents overview, instead of relying on a summary like this one.

Treat the first weeks as a trial. Review the summaries daily, fix the document where it was unclear, and keep a person responsible for the line. The goal is fewer lost calls, not fewer people paying attention.

Who is each one for?

Voicemail

Fine when after-hours calls are rare or low stakes. Improve it by recording a short greeting that tells callers what to say and when you will call back.

Answering service (human)

A good fit when calls need judgment, or when you want a person to speak to callers without building anything. Compare providers on how they handle urgent messages and how messages reach you.

AI receptionist

A good fit for an office that wants every call answered, wants routine questions handled from an approved document and is willing to test and supervise it. Practice first with the free lesson.

Frequently asked questions

Is an AI receptionist the same as a virtual receptionist?

Not always. A virtual receptionist answers remotely and can be a person or software. An AI receptionist is the software kind. See the virtual receptionist glossary page.

Can an AI receptionist replace my front desk?

Not fully. It covers hours when nobody is there and routine questions. People still handle complex, sensitive and in-person work.

Do I need to tell callers it is an AI?

The Stepthrough lesson has the receptionist say so in its greeting, and that is a good practice. Check the rules that apply to your business and your location.

How do I get urgent calls to a person?

Define what counts as urgent, mark those messages first, and set up a transfer or an on-call alert where your platform supports it.

Where do these prices and features come from?

Every price and feature on this page was checked against the vendor's own page, as of October 2026. No numbers here are estimates or third-party figures. The example businesses in the Stepthrough lessons are made up.
