What is call routing?

Call routing is the set of rules a phone system uses to send each incoming call to the right place: a person, a team, a voicemail box or an automated answer. Rules can depend on the caller's reason, urgency, time of day or who is available.

Why it matters for a small business

A call that lands with the wrong person costs everyone time: the caller repeats themselves, staff transfer them and sometimes the call is dropped. Good routing gets billing questions to billing, new clients to someone who can book them and urgent problems to whoever is on duty, ideally in one step.

Traditional routing uses phone menus: press 1 for sales. An AI receptionist can route by understanding what the caller says, sorting the request into a category and passing it on with a summary. The rules still have to be written down clearly. The AI is only as good at routing as the categories and escalation rules you give it.

AI triage decides how urgent or what type a request is. Routing uses that decision to send it somewhere. Triage is the sorting, routing is the delivery.

A phone menu asks the caller to choose a number. Routing is the broader rule set behind it, which an AI receptionist can apply from natural speech instead.
