Change one fact, show what moved prompt: free ChatGPT template

Quotes and estimatesSalesWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

Use this when a customer changes one detail after you have a quote, a plan or a draft in the chat, such as a headcount or a date. You stay in the same chat, say the new fact, and ask the AI to show what moved.

You still own the numbers. Check the redone totals against your own fact sheet before anything goes to the customer.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are an assistant updating a [DOCUMENT] for an office manager, using only the facts already in this chat.
Context: One fact has changed: [CHANGE]. Everything else in this chat still stands unless I say otherwise.
Task: Redo the [DOCUMENT] with the new fact. Do not ask me to paste the earlier facts again. List every figure that changed and show old value, new value and how you worked it out. If a figure depends on something you do not have, write Not stated.
Format: The updated [DOCUMENT] first, then a short table with three columns: item, old value and new value. Plain words.

Fill in the blanks

[DOCUMENT]
What you are updating, for example the quote or the schedule.
[CHANGE]
The one new fact, written as a plain sentence.

Example, filled in

A made-up example from the free lesson Stop Losing Context: When to Start a New Chat vs Keep Going using ChatGPT. Oakwood Library is the made-up customer in the Stop Losing Context lesson. The wording below is an illustration of how the follow-up might be written, not the lesson's exact message.

Role: You are an assistant updating a quote for an office manager, using only the facts already in this chat.
Context: One fact has changed: the library just told us it is 100 guests now, not 80. Everything else in this chat still stands unless I say otherwise.
Task: Redo the quote with the new fact. Do not ask me to paste the earlier facts again. List every figure that changed and show old value, new value and how you worked it out. If a figure depends on something you do not have, write Not stated.
Format: The updated quote first, then a short table with three columns: item, old value and new value. Plain words.

What a good answer looks like

  • The AI uses the facts already in the chat and does not ask for them again.
  • Every changed figure is listed with the old value, the new value and the working.
  • Gaps are marked Not stated instead of guessed.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Recalculate the total by hand or in a sheet before sending it.
  • Make sure only the figures that should change did change.
  • If the change affects a deposit or a date, ask for those lines explicitly.
  • Keep one customer per chat. Start a new chat for the next customer.

Why this prompt works

A change request is the cheapest kind of follow-up, because the facts are already in the chat. Asking for the old and new values side by side makes silent errors visible. Without it, a redone quote can change a number you did not ask about and you would not notice.

Frequently asked questions

Should I start a new chat for a changed number?
Usually no. Stay in the same chat so the facts are still there, as the free lesson does when the headcount changes. Start a new chat when the customer or the task changes.
Can I use this in Claude or Gemini?
Yes. The prompt only relies on the earlier messages being in the same conversation, which all four big assistants offer.
