What is a remittance advice?

Quick answer

A remittance advice is a short document a customer sends with a payment, or just before it, explaining what the payment is for. It lists the invoice numbers being paid, the amount applied to each, and any credits or deductions taken, so the vendor can match the money to the right bills.

Why it matters for a small business

A bank deposit on its own says only that money arrived. When one customer pays six invoices with one transfer, or pays a little less than the total, the person applying cash in accounts receivable has to guess unless a remittance advice explains it. Guesses lead to invoices shown as unpaid, needless reminders and annoyed customers.

On the paying side, sending a clear advice is a courtesy that saves phone calls. It also matters for security. Fake payment notices and remittance emails with harmful links are a known phishing trick. Treat an unexpected remittance email like any other: don't open attachments or links you weren't expecting, and confirm with the sender through a contact you already have.

In a real lesson: AI Receipt Extractor: Receipts to Google Sheets with n8n

The AI Receipt Extractor lesson teaches the skill behind reading remittance advices, applied to a different document. You build an n8n workflow where you attach a photo of a receipt in the chat, and an AI agent pulls out the date, vendor and amount, picks a category, and adds a row to a Google Sheet called Invoices with the columns Date, Category, Vendor and Amount.

A remittance advice has the same shape of problem: a document arrives, and someone types its numbers into a list. With a different instruction and columns such as Customer, Invoice Number, Amount Paid and Deduction, the same kind of agent could build a log for a person to check.

To be clear, the lesson only reads receipts, and the receipt in it is a sample from a made-up store. It doesn't touch payments or customer accounts. Applying cash to invoices should stay a reviewed step, especially when a deduction appears, because a deduction often points to a credit memo or a dispute.

Common confusions

Remittance advice vs receipt

A receipt is issued by the seller to confirm payment was received. A remittance advice comes from the payer to explain a payment being made.

Remittance advice vs invoice

The invoice asks to be paid. The remittance advice answers it, saying which invoices this money settles.

Tips

  • When you pay several bills at once, list every invoice number and amount on the advice.
  • If you short-pay, state the reason and reference the credit memo or issue.
  • Never trust bank details or links that arrive inside a remittance email.

Frequently asked questions

Is a remittance advice required?
Usually not by law, but many vendors ask for one, and it is good practice whenever a payment covers more than one invoice or differs from the invoice total.
Can AI read remittance advices for me?
AI can pull invoice numbers and amounts from a document into a sheet, as the receipt lesson does for receipts, but a person should confirm before payments are applied.
