Why it matters for a small business
A PO number turns "the boxes we ordered last week" into one exact record. When a shipment is late, an invoice is wrong or a delivery is short, quoting the number gets you straight to the right order in the vendor's system and in yours. Many larger customers will not pay an invoice that is missing their PO number, so vendors learn to ask for it.
Reading one is simple. Most are just sequential numbers, like 4471 then 4472, sometimes with a prefix for a location, department or year. The format is whatever your business chooses. What matters is that each number is used once and is carried through to the invoice, so accounts payable can match it.

PO number vs invoice number
The buyer creates the PO number. The vendor creates the invoice number. A clean invoice shows both, so each side can find it in its own system.
PO number vs order confirmation number
Some vendors assign their own order or sales order number when they accept your PO. Keep it, but treat your PO number as the main reference.

- Put the PO number in the subject line of every vendor email about that order.
- Never reuse a number, even for a canceled order.
