Why it matters for a small business
A late pallet delivery or a short shipment rarely stays the supplier's problem. It becomes your missed deadline or your unhappy customer. Businesses that keep a simple record of each vendor's orders, issues and response times spot unreliable suppliers early and have facts in hand when they negotiate.
Much of the day-to-day work is follow-up: chasing ship dates, flagging shortages and confirming fixes. Those messages need to be clear, specific and firm without being hostile, because you will likely order from the same vendor again. AI is well suited to drafting them from a list of open issues, while a person decides when a relationship needs a tougher conversation.

The system message sets the tone of every vendor message: name the PO and what was ordered, state the problem in one sentence and ask one clear question. A rule protects the relationship: "Do not threaten to cancel orders or invent penalties."
After you approve, each follow-up is saved to a Vendor Follow-Ups sheet with Vendor, Order, Issue, Follow-up Message and Due Date. Over time, a sheet like that becomes a vendor performance record: who is late, how often and how fast they fix it.
