n8n: Execute step, Execute workflow and Publish

n8nBeginner~6 min practice25 steps

Why this matters

New n8n users get stuck on the same question: "I ran it, so why is nothing happening?" The editor has three buttons that sound alike, Execute step, Execute workflow and Publish, and they do very different jobs.

Mix them up and you test with the wrong data, trust a green check that proves nothing, or build a form that stops working the moment you close the editor.

In this module you help Maple Street Bookkeeping, a small office whose new-client form feeds a Google Sheet. You run one node alone, pin test data so you do not resubmit the form, run the whole workflow, publish it, copy the live address, and see why every later change needs another Publish.

What you’ll build

A published workflow that catches a client form with a Webhook, picks out the email, name and service with Edit Fields, and adds a row to a Google Sheet called New clients.

You also know which button to press for which job, and which address, Test URL or Production URL, your form should use.

What you need

  • Nothing to start the practiceThe editor, the form and the sheet are practice copies. Maple Street Bookkeeping and its client are made up.
  • An n8n account, to do it for realSign up with this link (affiliate link: I may earn a commission, at no cost to you).
  • A Google Sheet called New clientsThree columns in row 1: Email, Name, Service. The lesson shows the sheet in its first step. Download the CSV below, then in Google Sheets choose File, Import, Upload.
  • A form that can send data to a web addressYour website form, or any form tool that can post to a webhook. You paste the Production URL from the Webhook node into it. That URL is not a secret key, but only share it with the form.

Concepts

3 ideas you’ll use in the practice.

Execute step runs one node

Execute step runs only the node you have open, using the data from the node before it. If the node before it has never run, n8n runs the earlier ones too, and a Webhook then waits for a test call that never comes. Press the stop button.

Pin test data on the Webhook (the pencil above Output, then Save) so every test run uses a saved sample. You no longer have to resubmit the form.

Execute workflow runs everything, but green is not proof

Execute workflow runs all the nodes. Every node gets a green check and an item count. A green check means the node ran, not that the result is right.

In the lesson, Service came out blank because nothing sent it yet. Open the sheet and look at the row. That is the real check.

Publish turns it on, and again after every change

Saving does not turn a workflow on. The Test URL (webhook-test) only listens while you test in the editor. Publish makes the Production URL (webhook) listen all the time, and that is the one your form needs.

The live workflow is a snapshot. If you add a field afterwards, the live version still skips it until you click Publish again.

Practice

Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.

Quick check

3 questions to check you’ve got it.

1. You click Execute step on Edit Fields and it says No input data. Why?

  • The Webhook before it has never run
  • Edit Fields is broken
  • The sheet is empty
Show the answer

The Webhook before it has never run. A node uses the output of the one before it. Pin test data on the Webhook so it has something to hand on.

2. Every node shows a green check. What does that prove?

  • The result is correct
  • Each node ran, so you still check the real result, like the sheet
  • The workflow is live
Show the answer

Each node ran, so you still check the real result, like the sheet. Green means it ran. Open the sheet to see whether the row is right.

3. You add a field after publishing. Real forms still skip it. What did you forget?

  • To pin the data
  • To click Publish again
  • To copy the Test URL
Show the answer

To click Publish again. The live workflow is a snapshot. Publish lights up again whenever you have changes that are not live.

You can test and publish. Next, make a workflow start by itself: a Schedule Trigger that sends a timesheet reminder every Monday at 8am.
