Why this matters
Copier, phone, software and cleaning contracts often renew themselves for another year unless you send notice weeks before the end, and in exactly the way the contract says. Most offices find that clause the week after the deadline.
Missing it is expensive: a full extra term of something you meant to replace, or an early termination fee to get out. In this module’s contract, leaving early costs 75% of the remaining fees, so the renewal date is the only cheap exit.
In this module you upload a vendor contract to a Temporary Chat, get every key term in one table with its section number, check the non-renewal deadline yourself, and have ChatGPT draft the letter and a mailing checklist.
What you’ll build
A one-page review of Brightline Painting’s copier contract with Keystone Office Systems (both made up): the key terms with section numbers, the last day Keystone must receive notice (November 30, 2026) with the math shown, and what the contract doesn’t say.
Then a non-renewal letter from the owner that quotes the agreement number and Section 2.2, a five-step certified-mail checklist and a safe mail-by date.
What you need
- Nothing to start the practiceChatGPT is a practice copy and the contract is already in the file picker.
- A ChatGPT account, to do it for realAny plan that can read files. Use a Temporary Chat (icon at the top right) or a business plan for real contracts.
- The contract as a PDFThe signed copy, all pages. Scanned PDFs work if the text is readable.
- Your calendarFor the receipt deadline and the mail-by date.
Concepts
3 ideas you’ll use in the practice.
Ask for section numbers
A table with a section number on every line turns “trust me” into “check § 7.1”. It is the fastest way to verify the answer, and a made-up clause has no section to point to.
Add “Use only what is in the contract. If something isn’t in it, say so.” so gaps are flagged instead of filled.
Received is not sent
Many contracts say notice counts when the other side receives it, and only by certified mail to a set address. An email to your account manager usually doesn’t count.
Work out the deadline as the end of the term minus the notice period, then mail it a couple of weeks earlier.
Check the math once
Start date plus term gives the end date. End date minus the notice period gives the deadline. Count it on a calendar yourself before you rely on it.
Practice
Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.
Do it for real
Now repeat it in your own account. Tick each step as you go.

Quick check
3 questions to check you’ve got it.
1. The contract says notice is effective when received, at least 90 days before February 28. When should you mail it?
- On November 30
- About two weeks before November 30
- Any time before February 28
Show the answer
About two weeks before November 30. November 30 is when Keystone must receive it. Mail it early enough to arrive, and keep the return receipt.
2. The contract requires certified mail. Does an email to your sales rep stop the renewal?
- Yes, any written notice counts
- No, it has to go the way the contract says
- Only if they reply
Show the answer
No, it has to go the way the contract says. Section 7.1 says email does not count as written notice.
3. Why ask for a section number on every line?
- It makes the table longer
- So you can check each point in the contract
- ChatGPT needs it to read PDFs
Show the answer
So you can check each point in the contract. Section numbers let you verify the few clauses that matter in seconds.
