AI for Small Business Owners: Your First 30 Days with ChatGPT, a CRM and One Automation

What you’ll be able to do: After this course you can pick the AI assistant that gives your business the best answers, write a four-part prompt that gets a usable first draft, and set ChatGPT's data controls so client details stay private. Then you turn a messy customer thread into a reply with every promise checked, get answers and a chart from a sales export, set up a ChatGPT Project that already knows your prices and voice, pull the renewal deadline out of a vendor contract, give every enquiry an owner and a next step in Capsule CRM, and build your first automation in Zapier so no new inquiry sits unseen.

Why this course

Picture Maria, who owns a 12-person design-and-print shop. Her inbox has quote requests from three days ago, her bookkeeper keeps asking for numbers she has in a spreadsheet somewhere, a software contract she signed last year renews by itself unless she cancels 60 days ahead, and two of her staff already paste customer emails into ChatGPT without telling her. She has tried AI twice: once it wrote a generic email, once it made up a price. What she needs is not more tools but a first month with a plan.

This course is that month, in order. Week 1, pick and set up: give the same office task to ChatGPT, Claude, Gemini and Copilot and choose one on the facts; learn the four-part prompt that stops the generic answers; set the data controls so your team can use it without leaking client data. Week 2, daily work: a customer reply with every promise checked, and a sales spreadsheet turned into answers and a chart. Week 3, your business inside the tool: a ChatGPT Project loaded with your prices and voice, a vendor contract read for its renewal deadline, and a CRM where every enquiry has an owner and a follow-up date. Week 4, your first automation: the three ideas behind every automation tool, then a Zap that copies each new inquiry into your tracking sheet the moment it arrives.

The payoff: by day 30 you have one AI assistant your team actually uses with rules they know, replies and numbers that take minutes instead of evenings, no follow-up or renewal date living only in your head, and one automation running on its own. Every module is a practice copy of the real tool that checks your work, so you can start now without creating an account, and you stay in charge: the AI drafts, you check the facts and the prices, you send.

Who this course is for

All ten modules are beginner level. You need a browser and the customer emails, spreadsheets and contracts your business already has. Do one or two modules a week to finish in 30 days, or do the whole course in an afternoon and come back to the ones you want to repeat with your own files.

You can already

  • Run or manage a small business and handle customers, numbers or vendors yourself
  • Use email and a spreadsheet day to day
  • Nothing else: no code and no accounts to start (the practice runs in your browser)

After this course you can

  • Choose between ChatGPT, Claude, Gemini and Copilot on a real task, and write prompts that get a usable first draft
  • Set ChatGPT's data controls, memory and Temporary Chat so client details stay private, and hand your team a one-page policy
  • Turn a customer thread into a checked reply and a sales export into answers and a chart
  • Keep your prices, voice and rules in a ChatGPT Project, and read a vendor contract for its renewal deadline
  • Track every enquiry in a CRM with an owner and a next step, and run your first automation in Zapier

What you’ll build

  • Module 1: You are Carla, the office manager at Ridgeline Insurance Agency. You paste the same task into ChatGPT, Claude, Gemini and Microsoft Copilot: a client reminder email plus a table of this week’s tasks.
  • Module 2: Two answers to the same request for Summit Lawn Care, a made-up small business announcing a new fall service. The vague prompt gets a generic email full of blanks. The four-part prompt (Role, Context, Task, Format) gets a short, plain email with the real price, dates and one clear call to action.
  • Module 3: You are Priya, office manager at Hartwell Bookkeeping, a made-up six-person firm. Starting from the client’s email, you switch off model training, review shared links, find Export data and Delete all chats, decide on memory, and try Temporary Chat.
  • Module 4: A warm, accurate reply to a customer whose order went sideways: the wrong pickup day, a change request and an allergy question nobody answered.
  • Module 5: A sales review for Maple Hollow Garden Center, a made-up small business with six months of sales in one CSV file: 1,248 orders across 7 columns (order_id, date, category, product, channel, units, revenue).
  • Module 6: A Project for Brightwater Cleaning, a small made-up company. It has project-only memory, five lines of instructions (who they are, how they sound, which files to use, how to sign off) and two files under Sources: Brightwater price list.pdf and Brightwater brand voice.docx.
  • Module 7: A one-page review of Brightline Painting’s copier contract with Keystone Office Systems (both made up): the key terms with section numbers, the last day Keystone must receive notice (November 30, 2026) with the math shown, and what the contract doesn’t say.
  • Module 9: You read the recipe behind a new client inquiry automation for Harbor Lane Bookkeeping (made up): one trigger and two actions. Then you map five fields from the form data into an "Add a row" action, fix a box that has words typed into it, run a test and check the new row.

Prerequisites

  • For the practice: a web browser. Each module runs in a copy of the real tool’s screens, so you need no account and no sign-up to start module 1.
  • To do it for real: a ChatGPT account. Each module says which one it uses.

Time to complete

About 1.5 hours of hands-on practice across 10 modules (237 steps in all). Modules take 6 to 18 minutes each, so you can do one in a sitting and come back for the next.

Questions about this course

How should a small business owner start using AI?

Pick one assistant and one job, not ten tools. This course starts by putting the same office task through ChatGPT, Claude, Gemini and Copilot so you choose on the facts, then teaches the four-part prompt and the data settings before you use it on anything real. After that, each module is one job you already do (a customer reply, a sales spreadsheet, a vendor contract, a follow-up list) done with AI and checked by you.

Which AI tools does a small business actually need?

For most businesses under 50 people: one AI assistant (ChatGPT in this course, with Claude, Gemini and Copilot compared in module 1), a CRM so follow-ups have owners and dates (Capsule CRM here, free for small teams), and one automation tool for the copy-and-paste jobs (Zapier here; the same ideas work in Make and n8n). Everything else can wait until one of those three is not enough.

Is it safe to put customer emails and files into ChatGPT?

Only after you set it up. Module 3 walks through ChatGPT's data controls, memory, Temporary Chat and shared links in 10 minutes and gives you a one-page policy for staff. The contract module uses a Temporary Chat so the document is not kept, and the customer-reply module shows how to check what the AI added before anything is sent. If your team is already using AI without rules, do module 3 first.

Can I do this without any technical skills?

Yes. There is no code anywhere in the course. The automation modules in week 4 explain triggers, actions and data mapping in plain words and then build one Zap by clicking through Zapier's real screens. Every module runs in a practice copy of the real tool that checks each step, and a Do it for me button gets you unstuck.

Is this AI course for small business owners free?

Yes. All 10 modules are free, about 98 minutes in total, and you can start module 1 without signing up or entering a card. Every module runs in a practice copy of the real tool, and ChatGPT, Capsule CRM and Zapier each have a free plan for what the course does if you then do it for real. Finish a module and you can download a free certificate.

How long does it take, and why 30 days?

The practice itself is about 98 minutes across 10 modules of 6 to 18 minutes each. The 30 days is for using each module on your own business between sessions: one or two modules a week, each followed by the same job done with your real emails, spreadsheets and contracts. That is what turns a tutorial into a habit.
