Why this matters
The weekly ops review raises the same late deliveries, the same shortages and the same backlog every week, because the meeting ends with “let’s keep an eye on it” and no one writes down who does what by when.
Worse, a vendor’s “should be back in stock next week” turns into “back next week” by the time it reaches the customer team, and customers get told a date nobody committed to.
In this module you hand the review transcript to ChatGPT and get a summary, the decisions, the next steps with owners and dates, the open questions and the risks to watch, with any vendor date that is not in writing marked Not confirmed. Then you send the team a recap before lunch.
What you’ll build
You are Imani, the operations manager at Fairline Supply Co., a made-up office-supply distributor, just out of the weekly review: late deliveries from the freight carrier, a box shortage at the packaging vendor and 140 returns waiting to be processed. All the companies and numbers are made up.
You get a summary, three decisions, four next steps, two open questions and four risks to watch, each with what would make it worse. You fill in the two dates nobody said and get a team recap that gives no vendor date as confirmed.
What you need
- Nothing to start the practiceChatGPT and Google Docs are practice copies. The transcript is already open.
- A ChatGPT account, to do it for realLeave vendor contract prices out of the chat if your company’s rules say so.
- A transcript or typed notes of the meetingGoogle Meet, Zoom and Teams can save one on some plans.
- The requestThe download below has the five-part request, the dates line and the recap email request from the lesson.
Concepts
3 ideas you’ll use in the practice.
A vendor’s “should” is not a commitment
Put the rule in the request: if a vendor said something “should” happen but did not confirm it in writing, mark it Not confirmed.
In the lesson, the packaging vendor said the medium box “should be next week”. The recap keeps that as an open question, and the decision is to tell customers about larger boxes with no restock date until the vendor confirms one in writing.
Risks to watch, with what makes them worse
Add a fifth part: risks to watch, with what would make each one worse. In the lesson that is late deliveries at 8% against a 3% target, the unconfirmed box restock, the 140-item returns backlog with one person out, and a freight rate increase on November 1 with no amount yet.
Saying what makes a risk worse tells next week’s review what to check first.
Every task gets an owner and a date
Nobody said when the returns backlog would be cleared or when the customer notice draft was due, so the table shows Not stated. Type the real dates in the same chat and the table updates.
Paste the next steps into your task tracker and open next week’s review with the same table.
Practice
Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.
Do it for real
Now repeat it in your own account. Tick each step as you go.

Quick check
3 questions to check you’ve got it.
1. The packaging vendor said the box “should be back next week”, nothing in writing. What does the recap say?
- Back next week
- Restock date Not confirmed
- Leave it out
Show the answer
Restock date Not confirmed. A vendor’s “should” is not a commitment. Customers only get a date once it is in writing.
2. Why ask what would make each risk worse?
- So next week’s review knows what to check first
- To make the email longer
- Because ChatGPT needs it
Show the answer
So next week’s review knows what to check first. It turns “keep an eye on it” into something specific to watch.
3. Two next steps show Not stated. What do you do?
- Send the recap as is
- Type the real dates in the same chat and check the table
- Pick dates for the team
Show the answer
Type the real dates in the same chat and check the table. Every task needs an owner and a date, or it comes back next week.

Your weekly review now ends with owners and honest risks. Next, the vendor paperwork behind those risks: review a contract with Foxit AI and list every renewal and exit date before it catches you out.
