AI for Project Managers: Meeting Notes to Action Items, Status Updates, Scope Creep and Boards
What you’ll be able to do: After this course you can turn a meeting transcript into decisions, an action items table with owners and due dates and a recap email, run a weekly review where every task has an owner without turning a vendor's "should" into a promise, and write one status update as three messages for the client, the sponsor and the team. Then you answer a "one small extra" scope request without giving away free work or a date you cannot hold, plan and run a sprint in Jira and set up a Kanban board with WIP limits, and build an n8n workflow that reads meeting notes and adds one action item per row to a Google Sheet, finishing with a recap, tracker rows and a kickoff deck from one set of notes.

Why this course
Picture Marcus, the project manager on a website rebuild for a regional insurer at a 40-person agency. Monday's steering call produced forty minutes of audio and no action list. The client wants a status update, the agency owner wants a different one, and the team wants to know what changed. The client also asked for "one small extra" and a second language, with the launch date unchanged. The Jira board has not matched the real process for weeks, and the action tracker is a spreadsheet Marcus fills in by hand at 9 pm.
This course takes those jobs one at a time, with the AI tool that does each best. Step 1: a transcript into decisions, an action table and a recap email in ChatGPT. Step 2: the weekly review, with owners and dates on every task and the risks listed. Step 3: one set of facts into the client email, the sponsor's Slack and the team text. Step 4: the scope-creep reply that keeps the client and the margin. Steps 5 and 6: Jira, a two-week sprint with a backlog and burndown, then a Kanban board with WIP limits and cycle time. Step 7: an n8n workflow that pulls who-does-what-by-when out of meeting notes into a sheet. Step 8: the capstone, recap plus tracker rows plus a kickoff deck from one set of notes.
The payoff: no meeting ends without owners and dates, status updates take minutes and fit their reader, scope creep gets answered the same day, and the tracker fills itself. You stay in charge the whole way: the AI drafts, you check every date and promise, and nothing is sent or committed without you. Each module is a practice copy of the real tool that checks your work, so you can start with no account.
Who this course is for
Six modules are beginner level and the two n8n modules are intermediate. You need a browser and a project you are running now. Do the modules in order, or start with the one that costs you the most evenings.
You can already
- Run projects with a client or sponsor, a team and a tracker of some kind
- Take meeting notes and write status updates today, by hand
- Nothing else: no code and no accounts to start (the practice runs in your browser)
After this course you can
- Turn any meeting transcript into decisions, an action table with owners and dates, and a recap email
- Run a weekly review and write status updates that fit the client, the sponsor and the team
- Answer a scope-creep request without free work or a date you cannot hold
- Plan and run a sprint and a WIP-limited Kanban board in Jira
- Automate the action tracker from meeting notes with n8n, and produce a kickoff deck from the same notes
What you’ll build
- Module 1: From the transcript of a team’s Monday meeting: a five-line summary, the decisions, an action items table (task, owner, due date) and the open questions.
- Module 2: You are Imani, the operations manager at Fairline Supply Co., a made-up office-supply distributor, just out of the weekly review: late deliveries from the freight carrier, a box shortage at the packaging vendor and 140 returns waiting to be processed. All the companies and numbers are made up.
- Module 3: Three ready-to-send messages about one made-up job delay at Brightline Painting: an email to the client with two options and a decision deadline, a Slack to the owner with the $420 extra cost, and a text to the crew lead with the evenings and the address.
- Module 4: You are Theo, the project lead at Quillmark Studio, a made-up web design agency, halfway through a 6-page redesign for Tobin Street Coffee (also made up). Rachel, the client, wants an online shop page and a Spanish version, still by the Nov 6 launch she has printed on flyers, and you are a day late answering.
- Module 5: A team-managed Scrum space called "Ops practice" (key OP) with six work items estimated at 22 story points, a two-week sprint holding the top four items (18 points) with a one-line goal, and a board where three cards reached Done.
- Module 6: A team-managed Kanban space called "Support practice" with a Waiting on customer column before Done, six practice requests and a column limit of 4 on In Progress.
- Module 8: A recap with decisions, an action items table and open questions. Four rows in a Google Sheet called Kickoff Action Items with the columns Meeting, Owner, Task, Due date and Status. And a five-slide kickoff deck.
- Module 1 · ChatGPT · Beginner · ~9 min
Summarize a Meeting Transcript
You’ll be able to: Step 1, the meeting is not over until the actions are written: paste the transcript and get the decisions, an action items table with owners and due dates, and the follow-up email.
- Module 2 · ChatGPT · Beginner · ~7 min
Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT
You’ll be able to: Step 2, the weekly review: turn a review with vendors into decisions, next steps with owners and dates, risks to watch and a team recap, without turning a vendor's "should" into a promise.
- Module 3 · ChatGPT · Beginner · ~9 min
Tell the Client, the Boss and the Team in One Go using ChatGPT
You’ll be able to: Step 3, one update, three readers: give ChatGPT the facts once and get the client email, the sponsor's Slack and the team text, then have it check every fact.
- Module 4 · ChatGPT · Beginner · ~9 min
Handle Scope Creep Without Losing the Client using ChatGPT
You’ll be able to: Step 4, "just one small extra": give ChatGPT the thread and the project facts, catch the free work and the date you cannot promise, and send a clear reply from Gmail.
- Module 5 · Jira · Beginner · ~15 min
Jira: Plan and Run Your First Sprint
You’ll be able to: Step 5, the board matches the plan: create a Scrum space in Jira, write a backlog with story points, fill and start a two-week sprint, move cards, read the burndown and complete the sprint.
- Module 6 · Jira · Beginner · ~12 min
Jira: Kanban Board with WIP Limits and Cycle Time
You’ll be able to: Step 6, stop starting and start finishing: set up a Kanban board whose columns match your process, cap In Progress with a WIP limit, see what happens when you go over it and read the cumulative flow diagram.
- Module 7 · n8n · Intermediate · ~15 min
n8n: Turn Meeting Notes into Action Items in a Google Sheet
You’ll be able to: Step 7, the tracker fills itself: build an n8n workflow that reads meeting notes from a sheet, has AI pull out who agreed to do what by when, and adds one row per task to an Action Items sheet.
- Module 8 · n8n · Intermediate · ~14 min
Meeting to Action: Recap, Tracker Rows and a Kickoff Deck (ChatGPT, n8n, Gamma)
You’ll be able to: Step 8, the capstone: turn rough meeting notes into a checked recap in ChatGPT, four action-item rows in a Google Sheet through n8n, and a five-slide kickoff deck in Gamma.

Questions about this course
How can a project manager use AI?
For the writing around the project: meeting notes into action items and recap emails, weekly reviews, status updates for different readers, replies to scope requests, and keeping the tracker current. This course covers each with a hands-on module, then adds Jira boards and an n8n workflow that fills the action tracker from meeting notes. The AI drafts; you check every owner, date and promise.
Is there a free AI course for project managers?
Yes. This course is free: 8 hands-on modules, about 90 minutes in all, in practice copies of ChatGPT, Jira, n8n and Gamma. No credit card and no sign-up to start, and a free certificate of completion for each module you finish.
Does this replace a PMP or Scrum course?
No. It assumes you already run projects and teaches the AI and tool skills that save the hours: notes to actions, updates, scope replies, a sprint and a Kanban board in Jira, and an automated tracker. Jira modules use Jira Free and show real screens.
Can AI take my meeting notes and update the tracker automatically?
Yes, with a check. Module 7 builds an n8n workflow that reads notes from a Google Sheet, has AI pull out each task with its owner and due date, and adds one row per task to an Action Items sheet. Module 8 does the same from one set of notes and adds the recap and a kickoff deck. You review the rows before anyone works from them.
Which AI tools does this course use?
ChatGPT for recaps, reviews, status updates and the scope-creep reply, Jira for the Scrum and Kanban boards, n8n for the automated action tracker and Gamma for the kickoff deck. Each module shows its real screens in a practice copy.
How long does the course take?
The course takes about 90 minutes of hands-on practice across 8 modules of 7 to 15 minutes each. It is self-paced: one module after your next status meeting is a good rhythm.
