What does an operations manager actually use AI for each week?

Most weeks, an operations manager uses AI for five recurring jobs: turning the weekly ops review into decisions and next steps with owners and dates, chasing late vendor orders, comparing vendor quotes on the same basis, writing or fixing SOPs, and turning the week's numbers into a short report. The one that changes the week most is the review recap, which you can practice in Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT.

Operations work is mostly coordination: many people, many vendors, many small commitments. Things slip when a commitment is never written down or when a vendor's "should" turns into a promise by the time it reaches a customer. AI is good at the writing that keeps commitments visible. It is not the one who knows which vendor is reliable or which delay matters.

What does a week with AI look like?

Monday: the ops review. Paste the meeting transcript into ChatGPT and ask for a summary, decisions, next steps with owner and due date, open questions and risks, marking anything a vendor has not confirmed in writing as not confirmed. Paste the next steps into Asana or monday.com and send the recap before lunch.

Tuesday: vendor follow-ups. Give AI the list of late and pending purchase orders and get a short, specific follow-up for each, with the order number and the date you need. An n8n agent can log every follow-up and its due date in a sheet.

Wednesday: quotes and purchases. Put three quotes written three different ways into one table on the same basis, check one total yourself and send each vendor the questions its quote left open.

Thursday: process fixes. Turn your notes on a process that went wrong into an updated SOP or an incident summary, and have the process owner review it.

Friday: the numbers. Upload the week's export (orders, returns, on-time deliveries) and ask AI to describe the file first, then summarize what changed and what to watch. Check the totals against your system.

What does this look like in a real lesson?

In the ops review lesson you are Imani, the operations manager at an office-supply distributor, just out of the weekly review: late deliveries from the freight carrier, a box shortage from the packaging vendor and 140 returns waiting to be processed. You copy the Google Meet transcript into ChatGPT under a request for five parts, including risks to watch and a rule that any vendor date not confirmed in writing is marked not confirmed. The next steps table comes back with two due dates as Not stated. You fill them in (returns cleared by Friday, the customer notice draft by Tuesday noon), then ask for a team recap with no vendor date presented as confirmed.

AI Vendor Follow-Up Agent builds the Tuesday job: an n8n agent for a supply company that writes follow-ups for late or pending purchase orders and saves each one to a Vendor Follow-Ups sheet with the vendor, order, issue, message and due date. Compare Vendor Quotes Side by Side covers Wednesday: three laptop quotes, one with setup and warranty included, one with extras and one lease, turned into a 3-year table where the quote that looked cheapest turns out not to be.

What mistakes should I avoid?

  • Turning vendor hopes into promises. "Should be back in stock next week" is not a date. Mark it unconfirmed until it is in writing.
  • Recaps with no owners. If AI writes "team to follow up", change it to a name and a date.
  • Trusting AI totals on quotes or KPIs. Check at least one total yourself, every time.
  • Pasting contract prices into an unapproved tool. Vendor pricing and contract terms are often confidential. Use your company's approved plan or a Temporary Chat if your rules allow it.
  • Automating before the process is clear. If people disagree on how something works, write the SOP first.

Which tools do operations managers pair with AI?

  • ChatGPT or Claude for recaps, follow-ups, quote tables and SOPs.
  • n8n to run follow-ups and logs on a schedule or from a chat.
  • Asana or monday.com to hold the tasks, both with AI that summarizes status and writes updates.

Key takeaways

  • Five weekly jobs: review recap, vendor follow-ups, quote tables, SOPs, the numbers.
  • Every next step gets an owner and a date, and Not stated gets filled in by you.
  • Vendor dates stay "not confirmed" until they are in writing.
  • Check totals yourself and keep confidential pricing in approved tools.

Frequently asked questions

Is it worth automating vendor follow-ups?

If you chase the same kinds of late orders every week, yes. Start by having AI draft the messages, then automate the log once the wording is reliable.

Can AI tell me which vendor to pick?

It can line up the quotes on the same basis and list what each one leaves out. The choice depends on reliability, relationships and terms that only you know.

How do I get meeting transcripts for AI?

Google Meet, Zoom and Teams can save transcripts on some plans, and typed notes work too. Tell attendees the meeting is being transcribed.
