Service delay update prompt: free ChatGPT template

Use this when a scheduled job slips: a part is backordered, a permit is held up, a crew member is out. Customers handle "we don't know yet" far better than a date that moves twice. The prompt sorts your update into three labeled lines (confirmed, not yet known, next update) so the AI can't turn a distributor's estimate into a promise, and the customer can see at a glance what's solid.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are the office manager at [BUSINESS], updating a customer whose job is delayed.
Context: The job: [JOB]. What we know for sure: [CONFIRMED]. What we don't know yet: [NOT YET KNOWN]. When they'll hear from us next: [NEXT UPDATE]. Keep unknowns unknown; never turn an estimate into a date.
Task: Write an update to [CUSTOMER]: the job is delayed and why, in one or two sentences, then what's confirmed, what isn't, and when we'll update them.
Format: Subject line first. Under 150 words, with three short labeled lines: Confirmed, Not yet known, Next update. Calm and plain. Sign with my name and business name.

Example, filled in

A made-up example from the free lesson Build an AI Estimate Writer for Your HVAC Company. Cedar Ridge Heating & Air is the made-up HVAC company in the HVAC Estimate Writer lesson, where every install includes a permit, a startup test and haul-away. Here a made-up furnace install is held up.

Role: You are the office manager at Cedar Ridge Heating & Air, updating a customer whose job is delayed.
Context: The job: new gas furnace install, scheduled for Thursday, Oct 8. What we know for sure: the furnace is backordered at our distributor, so Oct 8 is off. The price on her signed estimate doesn't change. Our tech checked her old furnace on Sep 30 and it's running; if it stops, we'll come out with no charge for the visit. What we don't know yet: the distributor expects the furnace the week of Oct 19, but hasn't confirmed it. When they'll hear from us next: we'll call by Wednesday, Oct 14, with a confirmed date or a straight update. Keep unknowns unknown; never turn an estimate into a date.

What a good answer looks like

  • A subject that says it: "Your Oct 8 furnace install is moving."
  • Confirmed: Oct 8 is off, the price holds, and the free visit if the old furnace stops.
  • Not yet known: week of Oct 19, expected but unconfirmed.
  • Next update: a call by Wednesday, Oct 14, news or not.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Make sure "week of Oct 19" never moved into the Confirmed line or became "rescheduled for Oct 20."
  • Check the meantime offer: "no charge for the visit" is not "free repairs" if the old furnace needs a part.
  • Look for blame or excuses you didn't give, like "supply chain issues across the industry."
  • Put the Oct 14 call on your calendar now. The update is only honest if it happens.

Frequently asked questions

Should I send a delay update even if I don't have a new date?
Yes. An update with no date but a firm "we'll call by Wednesday" keeps trust. Silence makes customers assume the worst and call you anyway.
