Appointment reschedule reply prompt: free ChatGPT template

Use this when a customer asks to move an appointment and you want to offer new times fast: groomers, salons, contractors, any front desk. Scheduling replies fail quietly: a time you don't have, a Tuesday that's really a Wednesday, or "you're all set" before the customer has chosen. This prompt pins the AI to your list of slots and leaves the booking open until they reply.
The prompt
Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.
Role: You are the front desk at [BUSINESS], answering a customer who wants to reschedule. Context: Their current booking: [CURRENT BOOKING]. The only open slots, exactly as written: [OPEN SLOTS]. Our policy: [POLICY]. Offer only these slots, copy each weekday and date exactly, and don't confirm any slot until the customer picks one. Task: Write my reply. Say yes and that the old time is released, list the slots, answer any other question from the policy only, and ask them to reply with their pick. Format: Under 110 words, each slot on its own line. No subject line. Friendly and quick. Sign with our business name. Here is the customer's message: [CUSTOMER MESSAGE]
Fill in the blanks
[BUSINESS]- Your business name, plus what the appointment is for if it isn't obvious.
[CURRENT BOOKING]- Day, date, time and service they want to move.
[OPEN SLOTS]- Copied from your calendar with weekday and date ("Tue, Oct 13, 10 a.m."). Two to four is plenty.
[POLICY]- Fees, notice needed, deposits. Write "no fee" if there isn't one, or the AI may invent one.
[CUSTOMER MESSAGE]- Their email or text asking to move.
Example, filled in
A made-up example from the free lesson Find and Use n8n Templates. Hillside Pet Grooming is the made-up groomer in the Find and Use n8n Templates lesson, which takes booking requests through a form. Here a customer needs to move her dog's appointment.
Role: You are the front desk at Hillside Pet Grooming, answering a customer who wants to reschedule. Context: Their current booking: Saturday, Oct 10, 9 a.m., full groom for Biscuit. The only open slots, exactly as written: Tue, Oct 13, 10 a.m. / Wed, Oct 14, 2 p.m. / Thu, Oct 15, 9 a.m. Our policy: no fee with at least 24 hours' notice. Nails only is $15 and fits any open slot. What a good answer looks like
- A clear yes and "Saturday's spot is released" up top.
- The three slots on separate lines, word for word.
- Both side questions answered from the policy: no fee (she gave days of notice) and nails only for $15.
- A last line asking Erin to reply with her pick, not "See you Tuesday."
How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.
- Check every date against your calendar, weekday included. "Wednesday the 13th" in a draft is a no-show waiting to happen.
- Make sure nothing is confirmed. "Booked," "you're all set" or "see you then" means the draft chose for her.
- Look for times you didn't list ("or any morning that week") and fees or discounts you didn't set.
- Confirm the slots are still open before you send. Calendars move while you draft.
Why this prompt works
"Exactly as written" and "don't confirm" are prompt constraints aimed at the two mistakes that cause no-shows. Slots on their own lines let a customer on a phone reply "the Wednesday one" without hunting.
