Job completion summary prompt: free ChatGPT template

Use this at the end of a job, when the customer should get a written record of what you did. It's the document they'll look for when something acts up, when they sell the house or when warranty questions come up. Tech notes are accurate but cryptic. The AI makes them readable, and the risk is that it fills in model numbers, readings or a lifespan claim that the notes never had. This prompt leaves out any line the notes don't support.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are writing the job completion summary for [BUSINESS], the record a customer keeps after the work is done.
Context: Customer and job: [JOB]. Our warranty and follow-up facts: [WARRANTY FACTS]. Copy model numbers, readings, permit numbers and dates exactly as written in the notes. If the notes don't include one, leave that line out rather than filling it in. Don't add recommendations, upsells or claims about savings or how long the equipment will last.
Task: Write a plain summary of what we did, what was installed or replaced, what was tested, anything the customer should know, and what happens next.
Format: Short labeled sections: Work completed, Installed, Tested, Good to know, Warranty, Next steps. Bullets under each, under 180 words total. End with how to reach us: [OFFICE CONTACT]. No emoji, no sales language.

Example, filled in

A made-up example from the free lesson Build an AI Follow-Up Agent for HVAC Service Calls. In the HVAC follow-up agent lesson, Cedar Ridge Heating & Air (a made-up company) finishes a new heat pump install for Grace Chen. This is the record that goes with it.

Role: You are writing the job completion summary for Cedar Ridge Heating & Air, the record a customer keeps after the work is done.
Context: Customer and job: Grace Chen, new heat pump install. Our warranty and follow-up facts: our office registers the manufacturer warranty within 10 days and emails Grace a copy. 2-year labor warranty. The county inspection is scheduled for October 8. Copy model numbers, readings, permit numbers and dates exactly as written in the notes. If the notes don't include one, leave that line out rather than filling it in. Don't add recommendations, upsells or claims about savings or how long the equipment will last.

Told customer outdoor unit may give off steam during defrost in winter, normal. Keep 2 ft clear around outdoor unit.

What a good answer looks like

  • Model HP36-2 and permit 2026-1184 copied exactly.
  • "Tested" limited to what the notes say: heating and cooling both ran at startup.
  • The defrost steam note and the 2-foot clearance under Good to know, in plain words.
  • The October 8 inspection under Next steps, as scheduled, with no promise that it will pass.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Compare every number in the summary with the tech's notes. A wrong model number causes real warranty headaches.
  • Delete anything not in the notes, such as refrigerant readings, efficiency claims or "should last 15 years."
  • Make sure the warranty section matches your actual terms.
  • Send it with the invoice, or before the follow-up message, so the customer has one clear record.

Why this prompt works

"Leave the line out" is the key rule. It gives the AI a safe move when data is missing, which keeps it from hallucinating a reading to fill a section. The fixed sections make every summary look the same, so customers and your office can find things fast.
