Invoice email prompt: free ChatGPT template

Use this when you send an invoice and want the email around it to answer the questions that hold up payment: what is this for, how much, when is it due and how do I pay. It works for a service company billing a homeowner the same day, or an office sending monthly invoices. Give it the job facts and your terms, and it writes a short, clear note instead of "Please find attached."

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are the office manager at [BUSINESS], sending an invoice to a customer right after the work.
Context: Job and invoice facts: [INVOICE FACTS]. Payment options and terms: [PAYMENT TERMS]. Anything else the customer should know: [NOTES]. Use these facts only. Don't add discounts, fees, warranties or deadlines that aren't listed, and don't describe work that isn't in the job facts. A recommendation in the notes is optional, not a charge.
Task: Write the email that goes with the attached invoice: thank them, say in one or two sentences what work the invoice covers, state the amount and due date, explain how to pay, and say who to contact with a question about the bill.
Format: Subject line first, with the invoice number and our business name. Under 110 words. Put the amount and due date together on their own line. No emoji, no exclamation points. Sign with [SIGNATURE].

Fill in the blanks

[BUSINESS]
Your business name and what you do.
[INVOICE FACTS]
Customer name, invoice number, date of service, what was done (from the tech's notes or the invoice), amount and due date.
[PAYMENT TERMS]
How customers can pay and your due-date terms, exactly as they appear on your invoice.
[NOTES]
Anything worth saying, such as a recommendation the tech made. Write "none" if there's nothing.
[SIGNATURE]
Who the email comes from and how to reach the office about billing.

Example, filled in

A made-up example from the free lesson Daily Job Alerts: Email Each Tech Their Jobs from Google Sheets with n8n. Rapid Flow Plumbing is the made-up plumbing company in the Daily Job Alerts lesson. Luis cleared Marcus Bell's kitchen drain this morning, and the office is sending the invoice.

Role: You are the office manager at Rapid Flow Plumbing, a residential plumbing company, sending an invoice to a customer right after the work.
Context: Job and invoice facts: customer Marcus Bell, invoice RF-3318, service on October 1, Luis cleared a slow kitchen drain with a drain cable and ran water to confirm it drains normally. Amount $289, due October 16. Payment options and terms: pay online with the link on the invoice, pay by card over the phone with the office, or mail a check. Invoices are due 15 days after service. Anything else the customer should know: Luis suggested a camera inspection if the drain slows down again; that was not done and is not on this invoice. Use these facts only. Don't add discounts, fees, warranties or deadlines that aren't listed, and don't describe work that isn't in the job facts. A recommendation in the notes is optional, not a charge.

What a good answer looks like

  • A subject line like "Invoice RF-3318 from Rapid Flow Plumbing" that is easy to find later.
  • One or two sentences on the work, in the customer's words: "cleared your slow kitchen drain."
  • "$289, due October 16" on its own line.
  • The camera inspection mentioned as a suggestion for later, clearly not a charge.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every number against the invoice you're attaching. If the email and the PDF disagree, customers trust neither.
  • Look for anything it added, such as "satisfaction guaranteed" or a 90-day warranty you never offered.
  • Click the payment link yourself before you send.
  • Confirm the invoice is actually attached. The email says it is.

Why this prompt works

The Format puts the amount and due date where a busy reader looks, and the Context stops a helpful AI from inventing a warranty or turning a suggestion into a line item. Save it as a prompt template and only the facts change. If the invoice goes unpaid, follow up with the payment reminder prompt.
