Discovery call recap email prompt: free ChatGPT template

SalesSalesWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

Use this within a few hours of a sales discovery call, when you have a transcript or your own notes. It writes a short recap email to the prospect with the decisions and next steps, and a separate block of deal notes for your CRM covering budget, decision maker, need and timeline.

It only uses what is in the transcript. If a date or number was not said, it marks it as open so you can fill it in or ask. Read the email before it goes, because it will be sent under your name.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are a sales assistant for [REP], an account executive at [COMPANY], who just finished a discovery call with [PROSPECT].
Context: Here is the call transcript: [TRANSCRIPT]. Use only what the prospect said. If a budget, date, name or decision was not said, write "open" instead of guessing. Do not promise prices, features or timelines that are not in the transcript.
Task: Write a recap email to the prospect that summarizes the call in three sentences, lists the decisions, lists the next steps with an owner and a date (or "date to confirm"), and asks them to correct anything wrong. Then write a CRM notes block with Budget, Decision maker, Need and Timeline.
Format: First the email, under [WORD LIMIT] words, in a warm and direct tone, then a four-line CRM block. Mark every open item with the word "open".

Fill in the blanks

[REP]
Your name.
[COMPANY]
Your company and what it sells, in a few words.
[PROSPECT]
The prospect's company and contact, or a placeholder.
[TRANSCRIPT]
The transcript or your notes, trimmed to the parts that matter.
[WORD LIMIT]
150 keeps the email short.

Example, filled in

A made-up example from the free lesson Send a Same-Day Follow-up After Every Discovery Call using ChatGPT. Clearpath Payroll is the made-up company in the discovery call recap lesson, where Jordan just finished a call with an architecture firm that wants to switch payroll providers. The transcript lines are an illustration, not the lesson's transcript.

Role: You are a sales assistant for Jordan, a sales rep at Clearpath Payroll, who just finished a discovery call with an architecture firm.
Context: Here is the call transcript: the office manager said they want to switch payroll providers and be live by January 1; the managing partner signs off on any new vendor; they run payroll for about 25 people twice a month; the current provider's support is slow; nobody gave a budget; the partner will review a proposal when it arrives.
Format: First the email, under 150 words, in a warm and direct tone, then a four-line CRM block. Mark every open item with the word "open".

What a good answer looks like

  • Budget is marked "open" because nobody gave one, and the email does not hint at a price.
  • Next steps have an owner and a date, or say "date to confirm".
  • The email invites a correction, which makes the prospect part of the record.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Compare every fact with the transcript. Remove anything the prospect did not say.
  • Fill in dates yourself, since the model should not invent them.
  • Check the recipient's name and company before you send.
  • Paste the CRM block into your CRM, and follow your company's rules on recorded calls and AI tools.

Why this prompt works

The word "open" gives the model a safe way to say "I don't know", which stops invented budgets and dates. Splitting the email from the CRM block keeps the prospect-facing text clean.
